Farrers Fire Protection LLC is seeking a motivated, organized, and dependable Executive Assistant to the President to join our recently opened Wilmington, NC branch.
This position serves as the President's direct support and plays a critical role in the daily operations of the company. The ideal candidate is highly organized, professional, detail-oriented, and capable of managing multiple priorities.
Responsibilities include, but are not limited to:
- Managing and maintaining the daily service and inspection schedule.
- Coordinating new work orders, schedule changes, cancellations, and customer requests.
- Completing and submitting required paperwork for national accounts accurately and on time.
- Reviewing inspection and testing reports for completeness and accuracy.
- Communicating professionally with customers regarding inspections, invoices, proposals, deficiencies, and work orders.
- Following up on outstanding proposals and past-due invoices.
- Assisting with accounts receivable, collections activities, and accounts payable.
- Preparing and organizing company documents, spreadsheets, reports, and records.
- Monitoring and responding to emails in a timely manner.
- Coordinating with technicians, customers, vendors, and subcontractors.
- Assisting the owner with administrative, operational, and special projects.
- Maintain strict confidentiality regarding all company, customer, vendor, and employee information, including pricing, contracts, financial records, business operations, trade secrets, and other proprietary or sensitive information.
Qualifications Required:
- High School Diploma or GED.
- Valid driver's license with a clean driving record.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Outlook, Word, Excel, and other Microsoft Office applications.
- Ability to multitask and prioritize effectively.
- Ability to work independently with minimal supervision.
- Professional appearance and demeanor.
- Reliable attendance and punctuality.
Preferred
- Experience in the fire protection, construction, service, or related industries.
- Experience with scheduling, customer service, office administration, invoicing, or collections.
- Experience using CRM or scheduling software.
- Knowledge of Microsoft 365, QuickBooks, or similar software platforms.

Pay: $22.52 - $23.31 per hour
