We are seeking a highly organized, professional, and proactive HR & Operations Coordinator to support the Firm Administrator and oversee essential day-to-day functions that keep the firm running smoothly. About the Role
The HR & Operations Coordinator plays a central role in ensuring our attorneys and staff have the support and structure they need to deliver exceptional service. This position coordinates HR workflows, assists with onboarding/offboarding, supports office operations, oversees front office personnel, and serves as a key resource across the firm. This is a hands-on position requiring professionalism, discretion, initiative, and excellent communication skills.
KEY RESPONSIBILITIES ------------
Human Resources Support
- Assist with employee onboarding, orientation, and offboarding processes.
- Support the Firm Administrator with HR tasks, documentation, and employee communications.
- Maintain confidential personnel files and support compliance with firm policies.
- Provide day-to-day assistance to staff and act as a resource for HR process questions.
Operational & Administrative Coordination
- Support daily operations to ensure a productive and professional environment.
- Assist with scheduling, office calendars, conference room coordination, and firm events.
- Help implement and maintain office procedures and organizational systems.
- Assist with employee benefits administration, including health insurance renewals.
- Process mail, deliveries, supplies, and vendor coordination as needed.
Team Leadership
- Supervise reception and staff support personnel, ensuring high-quality service across the firm.
- Monitor workflows and delegate tasks to maintain efficiency.
- Provide general administrative support to attorneys and legal staff when needed.
Facilities, Vendors & IT Coordination
- Serve as a point of contact for building management, service providers, and IT support partners.
- Assist in maintaining office equipment, ordering supplies, and tracking inventory.
- Support operational projects and internal initiatives to improve processes and efficiency.
Client Service
- Ensure front office operations deliver a warm, professional, and confidential experience.
- Support client intake workflows and information routing.
QUALIFICATIONS
- 2–5 years of administrative or operations experience; law firm or professional services background preferred.
- Experience overseeing staff or serving in a coordination/leadership role.
- Experience with employee benefits administration, including health insurance renewals, is a plus.
- Background in marketing, graphic design, basic website maintenance, and social media management is a plus.
- Strong communication, organization, and problem-solving skills.
- Proficiency with Microsoft Office (Word, Outlook, Excel).
- Ability to multitask, exercise sound judgment, and handle confidential information with discretion.
- Professional, reliable, and team-oriented.
JOB EXPECTATIONS
- In-office work only; no remote work
- Monday – Friday, 8:30 AM – 5:00 PM (lunch from 12:00 PM – 1:00 PM)
- Limited overtime required
