What are the responsibilities and job description for the Treatment Coordinator - No Dental Experience Needed position at Farmington Valley Orthodontics & West Hartford Orthodontics?
Treatment Coordinator — No Dental Experience Needed
Oct 26, 2026
Great with people? We'll teach you the teeth.
If you're the bartender regulars ask for by name, the salesperson customers come back to, or the retail associate who can turn a "just looking" into a happy customer, keep reading. We're looking for a Treatment Coordinator, and we care far more about how you connect with people than whether you've ever set foot in a dental office.
About us
West Hartford Orthodontics and Farmington Valley Orthodontics are one doctor-owned practice with two offices: West Hartford (345 North Main Street) and Avon (20 West Avon Road). Every patient is treated by Dr. Natalia Menjivar from first visit to final retainer.
We help kids, teens, and adults get smiles they're proud of. We're a small, close-knit team with clear systems, and we give each person real ownership of their role. You won't be a cog in a corporate chain.
The role
As our Treatment Coordinator, you're the person families meet when they come in wondering about braces or aligners. You get to know them, walk them through the doctor's plan and the cost, and help them feel good about saying yes. Then you follow up personally with the families who need more time.
Think of it as part host, part trusted advisor, part closer. Ortho treatment is a big decision, often involving a parent, a teenager, and a budget. Your job is to read the room, hear what's really holding someone back, and help them find a way forward. The style is gentle but firm: warm and patient, and still focused on reaching a decision.
You'll have monthly goals for new patients starting treatment. If you like a scoreboard and get a kick out of hitting your numbers the right way, you'll love this.
What you'll do
- Greet new families and make them feel at home from the first minute
- Get to know what each family wants, what worries them, and what fits their schedule and budget
- Sit in on the consultation with Dr. Menjivar, then explain the plan in everyday language
- Present the cost and payment options clearly and confidently
- Listen to concerns like "it's too much" or "we need to think about it" and help families work through them
- Ask for the decision with kindness, and get families started, often the same day
- Follow up personally with families who haven't decided yet: calls, texts, emails, handwritten notes
- Keep an organized list of every pending family so no one slips through the cracks
- Track your numbers and share what you're hearing so we keep getting better
- Handle the paperwork that comes with a yes: contracts, payment plans, and insurance details
- Work at both offices and pitch in at the front desk when the team needs you
Who you are
- You read people. You can tell when someone is nervous, skeptical, or ready, and you adjust on the spot.
- People trust you quickly. Strangers open up to you, and customers ask for you by name.
- You listen more than you talk. You ask good questions and actually hear the answers.
- You're gentle but firm. You can say no to a discount or hold a policy and still leave someone smiling.
- "No" doesn't rattle you. An objection is just the start of the conversation.
- You're comfortable talking about money. Prices, payments, and budgets don't make you squirm.
- You get things done. You're organized, you work a to-do list to the end, and you finish what you start.
- You follow through. If you say you'll call Tuesday, you call Tuesday.
- You like goals. Hitting a number feels good to you, and you'd never cut corners to get there.
