The selected candidate will serve as a key liaison between departments and vendors, ensuring timely communication and developing familiarity with the New York State purchasing guidelines and finance law.
Duties
The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple priorities. In this role, the Purchasing Assistant will perform a wide range of procurement related duties, including, but not limited to:
- Oversee and coordinate the Visa Procurement Card (P-card) program, including the timely collection of all P-card statements and supporting documentation; ensure expenditures comply with New York State and SUNY procurement guidelines; and follow-up with the campus community regarding missing documentation.
- Prepare purchase orders and process requisitions, including assisting with New York State contract purchases, vendor quote solicitations, and the formal bidding processes.
- Assist the campus community in expediting and resolving procurement issues.
- Enter vendor W-9 information into the State Financial System.
- Train campus personnel on entering requisitions and certifying procurement card statements.
- Provide general phone support and perform overall office administrative functions.

MINIMUM QUALIFICATIONS:
- Bachelor's degree
- Strong demonstrated experience using MS Excel, Word, and PowerPoint.
- Excellent interpersonal, written, and verbal communication skills.
- Strong organizational and multi-tasking skills.
- Experience in higher education, preferably in a SUNY school.
- Knowledge of NYS procurement policies and procedures.
- Proven ability to operate independently and/or under minimal supervision.
- Graduate of Farmingdale State College.
This is a full-time UUP position.
- For the first 10 working days, beginning Monday, June 29, 2026, and ending Friday, July 10, 2026, applications will be limited to UUP Farmingdale.
