Job Description:
We are looking for an organized and detail-oriented Administrative Assistant to provide dedicated support for meeting documentation, coordination and management of various projects. This role will be critical in ensuring that projects run smoothly, and meeting outcomes are clearly documented and communicated. The ideal candidate will have excellent organizational skills, a strong attention to detail, and experience in supporting project teams through effective communication and documentation.
Key Responsibilities:
- Attend meetings and take clear, concise, and accurate meeting minutes.
- Distribute meeting minutes to relevant stakeholders in a timely manner.
- Organize and maintain records of meeting minutes and project documentation.
- Assist project managers with scheduling and coordinating project tasks.
- Track project milestones, deadlines, and deliverables, ensuring the team stays on track.
- Provide administrative support for project teams, including organizing resources and communicating updates.
- Prepare and maintain project timelines, reports, and status updates.
- Assist in the creation and maintenance of project documentation (e.g., project plans, action items, status reports).
- Coordinate meetings, prepare agendas, and ensure all necessary materials are available to participants.
- Support the development and implementation of processes to improve project efficiency.
- Help maintain project management tools and systems to ensure proper tracking and reporting.
Qualifications:
- High school diploma or equivalent (required); Associate’s degree or higher in Business Administration, Project Management, or related field preferred.
- Proven experience in an administrative role with a focus on meeting minutes and project support.
- Strong proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and project management tools.
- Excellent verbal and written communication skills, with an emphasis on clarity and precision in meeting minutes.
- Highly organized with the ability to manage multiple tasks and deadlines effectively.
- Strong attention to detail, ensuring accuracy in both meeting documentation and project reporting.
- Ability to work independently and as part of a collaborative team.
- Ability to remain neutral and objective during meetings while focusing on capturing essential information.
- Experience with basic project management principles and methodologies is a plus.
Job Type: Full-time
Pay: $45,000.00 - $55,000.00 per year
