We are seeking a detail-oriented and professional
Administrative Assistant
to support the daily operations of our hotel in Sag Harbor. This individual will play a key role in ensuring smooth communication across departments, providing administrative support to management, and helping deliver an exceptional guest and employee experience.
Key Responsibilities
Provide administrative support to hotel management, including scheduling, correspondence, and document preparation.
- Manage phone calls, emails, and inquiries, ensuring prompt and courteous responses.
- Assist with maintaining records, filing systems, and databases.
- Prepare reports, meeting notes, and presentations as needed.
- Support HR functions such as onboarding, maintaining personnel records, and coordinating staff schedules in collaboration with designated People Team Members.
- Assist with vendor communications, supply ordering, and invoice processing.
- Provide backup support to the Front Desk during peak times or staff shortages.
Ensure confidentiality and professionalism in handling sensitive information.
Previous administrative or hospitality experience preferred (hotel experience strongly valued).
- Proficiency in Google Suite and comfort with hotel management software.
- Strong organizational skills with the ability to prioritize and multitask.
- Excellent verbal and written communication skills.
Professional demeanor, reliability, and a guest-service mindset.
Ability to work both independently and collaboratively in a fast-paced environment.
