Family Support Center of Maryland is a community-based Psychiatric Rehabilitation Program (PRP) dedicated to helping individuals living with serious mental illness achieve greater independence, stability, and quality of life.

Every day, we serve individuals facing significant challenges—including severe mental illness, substance use disorders, homelessness, trauma, and complex medical conditions. Many of the people who walk through our doors have had difficult experiences with healthcare systems and are looking for someone who will treat them with dignity, compassion, and respect.

Position Overview

We are seeking a compassionate, organized, and proactive Administrative & Client Services Coordinator to become the welcoming face of our program.

This position is ideal for someone who enjoys building relationships, takes pride in creating a welcoming environment, and finds purpose in serving individuals experiencing mental illness, substance use disorders, homelessness, and other complex life challenges. No two days are the same, and flexibility, compassion, and professionalism are essential to success in this role.

As the first point of contact for our organization, you will play an essential role in creating a positive experience for every individual who walks through our doors. Whether greeting clients, answering phones, supporting administrative operations, or maintaining a clean and welcoming office, your work will directly contribute to the success of our program and the well-being of the individuals we serve.

This is a part-time position with the opportunity to transition into a full-time role as our program continues to grow.

Key Responsibilities

Client Experience & Hospitality

  • Serve as the first point of contact for all clients, visitors, referral sources, and community partners.
  • Welcome every individual with professionalism, warmth, compassion, and respect.
  • Answer incoming telephone calls, direct calls appropriately, and provide excellent customer service.
  • Assist individuals with questions while maintaining confidentiality and professionalism.
  • Foster a welcoming, safe, and supportive environment for every person entering the office.
  • Demonstrate patience and professionalism when interacting with individuals experiencing mental illness, substance use disorders, homelessness, trauma, or other life challenges.

Administrative Support

  • Oversee and manage the day-to-day administrative operations of the office.
  • Schedule appointments and maintain office calendars.
  • Prepare correspondence, maintain files, and organize documentation.
  • Assist leadership with administrative projects and daily operations.
  • Coordinate meetings, prepare agendas, and maintain meeting minutes as requested.
  • Coordinate donation pickups and deliveries.
  • Verify insurance eligibility and assist with administrative documentation as needed.
  • Ensure required client sign-in procedures are completed accurately.
  • Monitor office inventory and order supplies as needed.
  • Communicate effectively with staff, healthcare providers, and community partners.
  • Maintain strict confidentiality in accordance with organizational policies and applicable privacy regulations.

Office Operations & Environment

  • Take ownership of maintaining a clean, organized, professional, and welcoming office environment.
  • Keep reception areas, conference rooms, kitchen, and shared spaces clean and presentable throughout the day.
  • Clean and disinfect high-touch surfaces and shared areas as needed.
  • Restock office and kitchen supplies to ensure the office operates efficiently.
  • Recognize when something needs attention and take initiative without waiting to be asked.
  • Assist with light office organization and other operational tasks that contribute to a positive client experience.

Team Collaboration

  • Work collaboratively with rehabilitation specialists, counselors, leadership, and other staff members.
  • Balance multiple priorities while maintaining accuracy, professionalism, and attention to detail.
  • Follow departmental policies, procedures, and applicable state and federal regulations.
  • Participate in staff meetings and organizational initiatives.
  • Perform additional duties as assigned to support the needs of the program.

Preferred Skills

  • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Professional telephone etiquette.
  • Ability to prioritize multiple responsibilities while maintaining attention to detail.
  • Experience using standard office equipment and technology.
  • Ability to work independently while collaborating effectively with a multidisciplinary team.

Minimum Qualifications

  • High school diploma or equivalent required, Bachelor's degree strongly preferred.
  • Previous experience in an administrative, office support, receptionist, customer service, or similar role required.
  • Experience in behavioral health, healthcare, social services, or a medical office setting is strongly preferred.
  • Experience working with vulnerable populations is preferred.
  • Ability to handle confidential and sensitive information with discretion.
  • Ability to adapt to changing priorities in a fast-paced environment.

Physical Requirements

This position is active throughout the workday and requires the ability to:

  • Sit, stand, and walk throughout the office for extended periods.
  • Occasionally lift and carry up to 25 pounds (office supplies, donations, or equipment).
  • Bend, reach, stoop, and perform light cleaning and organization of shared office spaces.
  • Maintain a clean, safe, and welcoming office environment for clients, visitors, and staff.
  • Use a computer and standard office equipment for prolonged periods.
  • Occasionally assist with moving or organizing office furniture and supplies for meetings or events.

Pay: $20.00 - $25.00 per hour
