Facilities Supervisor
Reports To: Chief Operations Director
FLSA Status: Non-Exempt (Hourly; eligible for overtime)
Position Summary
The Facilities Supervisor manages all aspects of maintenance, safety, security, building operations, and inventory for the Family Navigation Center, a 12,500 sq. ft. facility housing 10 families experiencing homelessness. This position ensures the building is well-maintained, secure, and compliant with regulatory requirements, while supporting staff and families with day-to-day facility needs.
Key Responsibilities
Preventive Maintenance & Inspections
- Conduct daily checks, including trash removal and upkeep of grounds.
- Perform inspections of building systems not requiring licensed contractors (e.g., HVAC filters, minor plumbing).
- Maintain a binder/log of inspections, findings, and corrective actions.
- Coordinate inspections and repairs requiring licensed professionals.
Vendor & Contractor Management
- Serve as primary point of contact for custodial services and facility vendors.
- Monitor contract performance and ensure compliance.
- Schedule timely visits by licensed professionals for inspections and repairs.
Security & Access Control
- Oversee building security systems, including key fob access and surveillance cameras.
- Issue, track, and deactivate key fobs; manage physical keys and records.
- Ensure all security technology remains operational.
- Respond to and document security incidents; coordinate with law enforcement as needed.
Inventory, Supplies & Donations
- Receive, process, and track building-use donations.
- Maintain accurate databases of supplies, inventory, and donations.
- Monitor and replenish supplies as needed.
Collaboration, Front Desk & Reporting
- Work closely with staff to support facility operations.
- Provide front desk coverage when needed.
- Provide regular updates on maintenance, inspections, and security.
- Assist with emergency preparedness, safety training, and evacuation planning.
Qualifications
- High school diploma or GED required; associate’s or bachelor’s degree preferred.
- 3–5 years’ experience in facilities supervision or building maintenance.
- Experience managing vendor/contractor relationships.
- Proficiency with Excel or similar database tools.
- Strong organizational, record-keeping, and communication skills.
- Ability to troubleshoot building systems and respond to emergencies.

Performance Measures
- Preventive maintenance completed and documented on schedule.
- Facility maintained in safe, clean, and operational condition.
- Security systems are consistently functional; incidents resolved promptly.
- Vendor contracts and inspections are kept current and compliant.
- Inventory tracked accurately; supplies replenished as needed.
- Positive staff and family feedback on facility safety and support.
Working Conditions
