Office Secretary
We are seeking a compassionate, detail-oriented, and professional Secretary to join our team. This is a fast pace office of two. The ideal candidate will provide administrative support to management and staff, assist clients with sensitivity, and ensure smooth day-to-day operations of the office.
Responsibilities:
- Greet clients and visitors with professionalism and care.
- Manage a multiline phone system, answering phone calls; respond to inquiries with discretion.
- Prepare and file documents including certificates, contracts, and service-related paperwork.
- Schedule appointments, meetings, and events.
- Assist with financial tasks including invoicing, payments, and recordkeeping.
- Coordinate services by communicating with outside vendors and partners.
- Support production of client materials such as programs, presentations, and digital media... including use of Photoshop.
- Maintain accurate records and ensure compliance with organizational policies and regulations.
- Perform general clerical tasks such as filing, correspondence, and supply management.
- Provide administrative assistance to leadership and staff as needed.
Qualifications:
- Strong organizational and communication skills.
- Ability to handle sensitive information with confidentiality.
- Proficiency with computers, databases, and Microsoft Office (experience with specialized office software is a plus)... Photoshop as well.
- Prior office or administrative experience preferred.
- Professional, empathetic demeanor when working with clients.
Job Type: Full-time
Pay: $25.00 per hour
