Medical Office Manager Job Description:
Administrative Oversight:
- Ensure optimal facility utilization by optimizing staffing ratios, patient density, and clinical space usage.
- Manage day-to-day administrative tasks such as scheduling appointments, coordinating patient referrals, and overseeing medical records management.
- Ensure compliance with healthcare regulations including HIPAA and OSHA requirements.
- Develop and implement office policies and procedures to enhance efficiency and productivity.
- Oversee front-end Revenue Cycle activities including physician billing, copay collection, and billing compliance.
- Monitor physician billing-related metrics and identify areas for improvement.
- Continuously assess workflows and procedures, implementing best practices to enhance outcomes.
- Monitor clinic manager dashboard and coordinate internal and external billing processes.
- Manage accounts payables and stay updated with reimbursement changes.
Staff Management:
- Recruit, train, and supervise administrative staff, providing ongoing feedback and support.
- Foster a positive work environment promoting teamwork and professional growth.

- Encourage staff to deliver exceptional patient care.

- Address patient inquiries and concerns promptly and courteously.
- Implement initiatives to enhance the patient experience and promote retention.
- Oversee practice waitlist and coordinate referrals and follow-up appointments.
Facility Management:
- Coordinate maintenance and repairs for office equipment and facilities.
- Ensure necessary certifications are acquired for new team members.
- Maintain compliance with safety regulations and ensure a clean work environment.
- Manage inventory and supplies to ensure adequate stock levels.
- Develop and implement policies related to patient scheduling and operational issues.
- Oversee physical environment of all sites, ensuring cleanliness and safety.
- Monitor and manage stock levels, purchasing of supplies, and vendor relationships supply usage and adjust stock levels as needed.
- Conduct daily meetings to ensure smooth patient flow and team coordination.

Requirements:
- Bachelor's or Associate's degree in healthcare administration, business administration, or related field (preferred).
- Proven experience in medical office management or healthcare administration.
- Must be motivated with a positive mindset and exceptional work ethic.
- Ability to work independently, handle multiple tasks simultaneously, and demonstrate excellent problem-solving skills.
- Well-organized with the ability to manage a demanding workload accurately and timely.
