We are seeking a detail-oriented and proactive Part-Time Administrative Assistant (20–25 hours per week) to support the smooth functioning of daily operations. This role includes serving as a welcoming downstairs receptionist, providing administrative and operational support, and helping ensure our staff, materials, and systems run efficiently. The Administrative Assistant plays a key role in helping Family Lifeline deliver health and hope directly into the home.
This position operates within Family Lifeline’s mission, vision, and values and follows organizational policies, procedures, and culturally informed best practice standards. Compensation for this role is $19–$20 per hour.
Qualifications
- Strong interpersonal and customer service skills, with the ability to communicate effectively with diverse audiences
- Proven experience in administrative or office support roles
- Strong organizational and time management skills
- Moderate technical proficiency, including Microsoft Outlook, calendar management, and the Microsoft Office Suite (Word, Excel, PowerPoint, Teams)
- Ability to schedule meetings on behalf of others with discretion and professionalism
- Comfort using technology tools, including light AI-based editing tasks (e.g., job descriptions or internal documents)
- Ability to learn and adapt to new software and systems
- Excellent written and verbal communication skills
- Ability to handle sensitive information with discretion
- Comfortable working independently and collaboratively
- Demonstrated ability to anticipate needs, problem-solve, and take initiative in a fast-paced environment
- High School Diploma required
Key Responsibilities
- Serve as a welcoming first point of contact and downstairs receptionist for staff and visitors
- Provide general administrative support, including preparing documents, maintaining HR, finance, and operations files
- Manage calendars and scheduling, including coordinating meetings on behalf of staff with discretion
- Support onboarding and offboarding processes
- Coordinate food pickup and hospitality needs for meetings and events
- Manage office and light kitchen supplies, including ordering materials and business cards
- Provide basic finance support, including filing, petty cash reconciliations, food card coordination, and check runs
- Support operations by coordinating logistics for events, trainings, vendors, and new hires
- Maintain marketing and program materials and provide occasional support with emails, mailers, directory updates, and photos
Pay: $19.00 - $20.00 per hour
