Essential Duties and Responsibilities
- Greet and check in patients in a courteous and professional manner.
- Schedule, confirm, and reschedule patient appointments.
- Verify patient demographic, insurance, and financial information.
- Register new patients and maintain accurate patient records in the electronic health record (EHR) system.
- Collect copayments, fees, and other patient payments in accordance with organizational policies.
- Answer and direct incoming telephone calls, respond to patient inquiries, and relay messages appropriately.
- Assist with patient intake, including obtaining and updating medical information as needed.
- Coordinate referrals, authorizations, and follow-up appointments.
- Prepare and maintain patient charts, forms, and documentation.
- Process incoming and outgoing correspondence, faxes, and medical records requests.
- Assist providers and clinical staff with administrative tasks and patient flow coordination.
- Maintain confidentiality of patient information and comply with HIPAA regulations.
- Support quality improvement initiatives and organizational performance goals.
- Ensure compliance with FQHC, HRSA, state, federal, and organizational policies and procedures.
- Perform other duties as assigned.
Education
- High school diploma or equivalent required.
- Completion of a Medical Office Assistant, Medical Administrative Assistant, or related healthcare program preferred.
Certification
- Current Certified Medical Office Assistant (CMOA) credential required or obtained within the timeframe established by the organization.
Experience
- One (1) year of experience in a medical office, physician practice, community health center, or healthcare setting preferred.
- Experience with electronic health records and medical scheduling systems preferred.
- Bilingual abilities are a plus.
