Position Summary
The Grant Accountant is responsible for managing the grant financial activities, revenue recognition, and key accounting functions that support Family Counseling Service of the Finger Lakes’ financial operations, mission and goals. This role works closely with the Finance team, program leadership, and external funding agencies to ensure accurate reporting, regulatory compliance, and financial transparency across all grant-funded programs.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
· Modeling the Agency’s core values of safety, trustworthiness, choice, collaboration and empowerment in every interaction with co-workers, clients, service providers and the community at large.
· Serving as a financial liaison to program leadership regarding grant budgets, allowable expenses, recording of expenditures and monitoring, and tracking and reporting on grant spending, balances and compliance requirements.
· Preparing revenue invoices for services rendered on a daily, monthly, quarterly, and/or yearly basis, utilizing reports generated from electronic medical record system and other contracts..
· Preparing and recording vendor invoices into the financial accounting system, noting funding sources as appropriate.
· Processing vendor payments on a weekly basis, or as needed.
· Processing all credit card purchases into the financial accounting system, noting funding sources as appropriate.
· Preparing bi-weekly payroll, including earnings, deductions and reimbursements.
· Posting bank deposits in the financial accounting system.
· Monitoring and performing collections on past due billings.
· Maintaining vendor records, including W-9 and 1099-Misc reporting.
· Assisting with monthly financial close processes including journal entries and account reconciliations.
Supporting the annual financial audit and preparation of audit schedules.
·Assisting with preparation of agency operating budgets and program budgets.
Minimum Qualifications (Knowledge, Skills, and Abilities)
· Associate’s degree in accounting or related field and three years of relevant experience or Bachelor’s degree in accounting or related field and two years of relevant experience.
· Understanding of nonprofit and grant accounting practices, including online payroll processing (preferably iSolved platform), QuickBooks Online (QBO), Bill.com, Sage Intacct or similar financial management software experience preferred.
· Strong Microsoft Excel intermediate-level skills.
· Good problem solving and time management skills and the ability to remain calm in a crisis.
· Demonstrated ability to communicate effectively and work cooperatively with culturally diverse persons, staff and multiple service provider agencies.
· Strong verbal and written communication, organizational skills, attention to detail, ability to multi-task and prioritize Agency needs with the ability to collaborate across departments..
· Experience and knowledge on the use of computers and a broad understanding of using the internet, server and e-mail in the workplace.
· Previous Grant accounting experience with a non-profit organization is beneficial
· Proficiency in use of computer software such as EHR systems, Microsoft Office, and virtual platforms
· Must have reliable transportation
