Responsibilities

  • Greet visitors and clients with a friendly, professional demeanor, ensuring they feel welcomed and valued.
  • Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette.
  • Handle all front desk duties including scheduling appointments, managing calendars, and providing customer support.
  • Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office management tools.
  • Assist with clerical tasks such as proofreading documents, managing correspondence, and supporting administrative projects.
  • Support office management activities including supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software.
  • Maintain a clean, organized reception area while managing multiple priorities efficiently through effective time management.

Skills

  • Proven experience in office administration or as a receptionist with strong clerical skills.
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Familiarity with multi-line phone systems, data entry, filing systems, and calendar management tools.
  • Exceptional customer service skills with the ability to handle inquiries professionally and courteously.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Strong organizational skills with keen attention to detail; ability to proofread documents accurately.
  • Experience with medical or dental receptionist duties is a plus but not required; relevant personal assistant experience is beneficial.
