Objectives for the job:
- Acts as the primary point of contact for exhibition artists, organization members, potential artists and members, addressing inquiries, providing information, and resolving issues related to exhibitions and membership.
- Cultivates and maintains relationships with existing members while identifying and engaging new potential members. This involves regular communication, acknowledgment of contributions, and providing updates on the organization's impact.
- Assists with fundraising efforts, including the sale of art to collectors, development of strategies, fundraising goals, budgeting, events, and marketing efforts to ensure successful outcomes.
- Attends events to meet potential artists and members.
- Works within a budget to minimize expenses and maximize donations and sponsorships.
- Assists the curator and juror by interacting with existing and potential artists to ensure they are supported and know how to get involved.
Duties
- Develop and implement comprehensive exhibition strategies that attract diverse audiences and showcase compelling content.
- Plan, coordinate, and execute engaging events such as openings, tours, workshops, and special programs aligned with exhibition themes.
- Oversee event marketing efforts across multiple channels to maximize attendance and visibility.
- Provide exceptional customer service by engaging with visitors, members, and stakeholders to enhance their experience.
- Manage budgets for exhibitions and events, ensuring cost-effective operations while maintaining high-quality standards.
- Collaborate with internal teams on event planning logistics including catering, banquet arrangements, guest services, and hospitality needs.
- Track performance metrics for exhibitions and memberships; prepare reports to inform future strategies.
- Foster relationships with community organizations, sponsors, and partners to expand outreach opportunities.
- ·Assists the curator with exhibition logistics including but not limited to “artist call for entries”, management of entries and exhibition fees, memberships and shipping costs. Provides interface with Retail Manager for seamless information flow. Manages correspondence with artists and all necessary compliance paperwork. Creates and manages calendar for all press releases, Google Drive management, email notifications, creating prospectuses, artist application on the website, receiving, staging and placing the art, scheduling the artists to drop off and pick up, unpacking and placing art, creating and hanging artist bio cards and art information cards, and anything else needed to ensure the exhibition timeline is met.
- Assists with procurement of exhibition sponsors, docent tour organization and calendaring. Marketing campaigns for exhibitions
- Tracks artist entries, ensures exhibition applications are completed and tracks entry fees. Collects and tracks shipping fees (when applicable) and ensures art is shipped according to prepaid tags.
- Recruits, tracks and maintains Guild Memberships including adding them to the website
- Works directly with the Executive Director and other key staff members to develop and implement strategies to attract new members and retain existing ones, including organizing events and activities.
- Collects and analyzes membership data, tracks statistics, and prepares reports to inform the Board of Directors on membership strategies.
- Prepare a monthly report, including membership data and activities, to be communicated to the Board of Directors.
Requirements

- 3 years of relevant experience in communication
- Ability to create and maintain positive relationships with potential members and artists
- Proven experience in event management or exhibitions within arts, cultural institutions, hospitality or related fields such as hotel or restaurant management.
- Strong negotiation skills with the ability to secure favorable contracts for venues, vendors, and sponsors.
- Excellent marketing acumen with experience in event promotion and upselling strategies.
- Demonstrated ability in event planning from concept through execution—handling logistics like catering, banquet services, guest accommodations, and hospitality arrangements.
- Exceptional customer service skills coupled with outstanding communication abilities to engage diverse audiences effectively.
- Effective time management skills to juggle multiple projects simultaneously while meeting deadlines.
- Experience in budgeting for large-scale events or exhibitions; adept at resource allocation.
- Familiarity with fundraising activities or donor engagement is a plus.
- Knowledge of hospitality operations including guest services at hotels or restaurants is advantageous.
- Organizational skills necessary for managing contracts, coordinating vendors, overseeing event logistics and maintaining detailed records.
