We are seeking a candidate to join our team at our headquarter office in Troy, Michigan, as a Document Services Specialist. The Document Services Specialist is responsible for preparing, formatting, organizing, and quality-checking immigration petition materials and supporting documentation. This role ensures that all case documents are accurate, professionally presented, and compliant with internal standards and filing requirements. Additionally, the Document Services Specialist is responsible for printing, assembling, scanning, and mailing petition packages, ensuring all filings are properly documented and dispatched in accordance with firm procedures and filing deadline.


How you will be contributing:

· Intake and process mail daily Including stamping, scanning, copying, alerting teams to receipt, filing in case management system and processing through our internal system.

· Print, assemble, scan, and prepare completed petition packages for mailing or courier delivery.

· Ensure all petitions and supporting documentation comply with firm standards and applicable government filing requirements.

· All UPS and/or FedEx matters, including accurately determining postage and correct destination, coordinating pickup/dropoff as well as managing any issues with the vendors.

· Maintain accurate records of outgoing mail, courier tracking information, and filing confirmations.

· Scan final filed petition packages and supporting documents into the firm's document management and case management systems to ensure complete electronic records. Ensuring accordance with firm naming standards.

· Ensure all mailed petitions are properly packaged, labeled, and dispatched in accordance with filing deadlines and internal quality standards.

· Coordinate with attorneys, paralegals, case managers, and other departments to obtain missing documents and resolve document-related issues.

· Create folders & labels for case documentation.

· Monitor inventory of office supplies related to document production.

· Handle printer issues including paper jams, contacting vendor for maintenance and/or emergencies and stacking paper.

· Organize file room and engage in necessary associated project.

· Answer backlog calls.

· Identify opportunities to improve document workflows, templates, quality control procedures, and operational efficiencies.

· Cross-train with team members and provide support to other departments during periods of high volume.

· Assist with special projects and perform other duties as assigned to support the firm.

· Ability to work efficiently in a fast-paced, deadline-driven environment while maintaining accuracy

· Ability to operate high speed printers, scanners and copiers

· Ability to follow detailed processes, procedures, and standardized workflows

· Strong interpersonal skills and the ability to collaborate with other team members across departments

· Adaptability and willingness to learn

· Attention to detail

· Ability to operate office equipment

· Knowledge of Microsoft Word, Excel, Outlook, SharePoint, and Adobe

· Ability to learn and understand a case management system
