Responsibilities

  • Manage office operations by greeting visitors, answering multi-line phone systems, and providing friendly customer support with professional phone etiquette.
  • Handle incoming calls efficiently, directing inquiries to appropriate departments and taking detailed messages when necessary.
  • Oversee calendar management and scheduling for multiple team members, including appointment setting and meeting coordination using Google Workspace and Microsoft Office tools.
  • Perform data entry, maintain accurate filing systems, and ensure all documents are properly organized and easily accessible through digital or physical filing methods.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic financial record keeping.
  • Support office management duties such as ordering supplies, maintaining inventory, and ensuring the office environment is clean and functional.
  • Proofread correspondence, reports, and other documents to ensure accuracy and professionalism.
  • Provide clerical support such as photocopying, scanning, faxing, and preparing materials for meetings or presentations.
  • Coordinate personal assistant tasks such as travel arrangements or special project support as needed.
  • Maintain confidentiality of sensitive information while demonstrating excellent organizational skills and time management.

Qualifications

  • Proven experience in an office environment with strong clerical skills; prior experience as a receptionist or administrative assistant is highly preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and familiarity with data entry systems like QuickBooks.
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting.
  • Strong computer literacy with the ability to learn new software quickly.
  • Exceptional phone etiquette skills with experience managing multi-line phone systems.
  • Previous experience in customer service or customer support roles demonstrating professionalism and positive communication skills.
  • Attention to detail in proofreading documents and managing records accurately.
  • Ability to handle confidential information discreetly while maintaining high levels of professionalism.
  • Previous Administrative Secretary experience preferred.

Job Type: Part-time

Pay: $18.00 - $23.00 per hour

Expected hours: No more than 21 per week
