Position Summary:
Faith In Action East Bay (FIAEB) is seeking a detail-oriented and organized Administrative Associate to join our team to oversee our day-to-day operations. The ideal candidate will possess strong office management skills, proficiency with various software tools, and excellent customer service abilities. They will handle a diverse range of operational and administrative tasks, including accounts payable and receivable, support for the organizing staff, organizing events, and maintaining smooth administration of the office. This position offers an engaging work environment where professionalism and efficiency are valued.
Roles & Responsibilities:
Financial:
- Serves as single point of contact for all invoices and ensures that all bills are paid in a timely manner.
- Reconciles monthly credit card payments
- Tracks and oversees bank deposits for all donations
- Handles payments and receipts for all financial transactions with coalition partners
Administration:
- Acts point of contact for telephone and email inquiries to organization
- Serves as point person for scheduling all meetings and convenings, including for the Executive Director
- Oversees the day-to-day administration of office
- Provides administrative support to the staff as needed
- Membership coordination
Human Resources:
- Facilitate monthly payroll processing
- Oversee the onboarding of all new employees
- Ensure that all staff expense and hours reports are entered into our payroll system
- Coordinate volunteers on an as-needed basis
Facilities:
- Act as vendor point of contact for business machines, janitorial, physical plant
- Oversee the maintenance and orderliness of the office, including overseeing contacts for technological and other support
- Order all supplies as needed for the office and the organization
Events:
- Provide logistical support for all team events, including selecting the venue, arranging transportation, ordering food, etc.
Other duties as assigned.
Qualifications:
- Proficiency in Microsoft Office Suite.
- Strong written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
- Excellent organizational and problem-solving skills.
- Familiarity with office management procedures and equipment.
- High attention to detail and accuracy.
- Working knowledge of office equipment, like printers and photocopy machines
- Ability to independently conduct research on potential vendors, consultants, and procedures.
- Previous experience in an administrative role desirable
- Customer service attitude
- Knowledge of community-organizing practices a plus

Compensation and benefits: $30-35 per hour depending on experience. Benefits for the position include health, dental and vision coverage, reimbursement for wellness expenses (up to $500 in the first year and $1000 thereafter), and sabbatical and 401(k) plans.
