Job Summary:
The Supervisor, Mental Health Admission Specialist, is a critical role within the M Health Fairview Mental Health and Addiction Patient Placement Team. This role will lead the development, implementation, and optimization of policies, procedures, and standard work that support the Behavioral Health Department’s strategic initiatives and ability to improve patient flow and proactive capacity management across the M Health Fairview care system. The position oversees the daily operations of the Mental Health Admission Specialist team. The Mental Health Admission Specialist Supervisor must have a strong administrative background to support and lead Mental Health Admission Specialist team members while maintaining continuous situational awareness of system inpatient behavioral units. This position will be a critical driver of administration standardization and integration in support of all external, inter-hospital, and intra-hospital transfers for new patient admissions, direct admissions, and transfers across the system. This includes reviewing system capacity and barriers to patient flow, utilizing an administration foundation to support assessment, problem-solving to drive patient flow and communication of barriers with the appropriate stakeholders in a timely and accurate manner.
Job Expectations:
Manages daily operations of the Behavioral Health Department Patient Placement
- Collaborates with Mental Health and Addiction leadership, inpatient behavioral health leadership, emergency medicine leadership, and frontline teams to support seamless patient flow throughout Mental Health and Addiction system at M Health Fairview.
- Manages operations for patient placement and flow of all external, inter-hospital, intra-hospital transfers for new patient admissions, direct admissions. With emphasis on how administrative picture intersects with system flow. Ensures teams are utilizing correct information and assessment to coordinate for the appropriate level of care and capabilities for the site and units.
- Maintains situational awareness of system patient flow and potential bottlenecks.
- Identifies barriers to patient flow and supports team in mitigating as appropriate.
- Demonstrates ability to implement problem-solving mechanisms in both routine and emergency situations.
- Demonstrates understanding administrative operations when problem-solving.
- Oversees all communication and dissemination of system situational awareness to appropriate stakeholders within Mental Health and Addiction. Including requests for patient placements and transfers, physician consultations, and discharges. Ensures communications are complete in a timely and accurate manner.
- Oversees all preparation for daily system patient flow huddles and other related meetings.
- Ensures implementation and development of standards of practice in patient care/transitions that reflect valid research findings.
- Executes on key strategies, and continuously monitors key performance indicators to measure the success of the operations.
- Supports Mental Health and Addiction as a key administrative voice in continuous improvement efforts to ensure process and performance excellence across patient access workflows.
Responsible for human resources management for assigned area(s) to achieve quality service and positive employee relations:
- Implements and communicates Human Resources policies and procedures in a fair and consistent manner.
- Selects top talent, matching organizational needs with appropriate skill sets.

- Supports staff development and professional growth.
Develops, implements, monitors, and evaluates the quality improvement program for the department.
- Ensures development of a written plan that identifies measurable outcomes/indicators of quality.
- Ensures that a process for collecting, monitoring, and reporting data exists for assigned area.
- Ensures that there is a plan for correcting negative outcomes or trends.
- Distributes data and continuously seeks out opportunities to improve staff understanding of data and its importance.
- Annually establishes unit-based plan as part of department quality improvement program.
- Provides a written report as requested to the appropriate director or system director. The report summarizes identified problems, actions, and results to improve processes.
- Incorporates incident reports, patient questionnaires and statements, and physician comments into quality process.

- Conducts frequent, timely and appropriate communication through one-to-one sessions and employee rounding.
- Builds relationships with system service line, site and unit leaders.
- Identifies and prioritizes change management needs and approach.
- Delegates appropriate tasks to staff.
- Serves as a role model for staff.
Maintains quality assessment and quality improvement activities. Monitors productivity and volume data.

Minimum Qualifications to Fulfill Job Responsibilities:

· Bachelor’s degree in business or healthcare
Experience
· 3 years of experience with patient access and flow in a complex, academic health system setting
· 3 years supervisory management experience and previous experience as an assistant nurse supervisor
Preferred

The posted pay range is for a 40-hour workweek (1.0 FTE). The actual rate of pay offered within thisrange may depend on several factors, such as FTE, skills, knowledge, relevant education, experience,and market conditions.
