Accounting and Payroll Specialist
Fairbanks Resource Agency (FRA) is looking for a detail-oriented Accounting Specialist to join our Accounting team. If you enjoy working with numbers, staying organized, solving problems, and making sure the details are right, we'd love to hear from you.
In this role, you'll support our financial operations by processing accounts payable and receivable, assisting with payroll, coordinating Medicaid billing, maintaining accurate financial records, and helping ensure our accounting processes run smoothly. You'll work closely with our Billing/Accounting Manager and finance team while supporting an organization that makes a difference in our community every day.
What You'll Do
Accounts Payable & Receivable
- Process vendor invoices and payments using QuickBooks and Bill.com
- Prepare and send customer invoices
- Record and track incoming payments
- Maintain vendor files and purchase orders
- Reconcile credit card transactions and assist with bank reconciliations
- Follow up on outstanding customer and vendor balances
- Assist with month-end accounting tasks
- Prepare rent invoices and chore service billing
- Assist with annual 1099 and 1096 reporting
Payroll Support
- Assist with processing biweekly payroll using ADP
- Review employee time records for accuracy and completeness
- Process payroll adjustments, reimbursements, and deductions as needed
- Maintain confidential payroll records
- Respond to employee payroll-related questions and assist with resolving discrepancies
- Coordinate payroll changes with Human Resources, including new hires, terminations, pay changes, and benefit deductions
- Assist with payroll reporting and year-end payroll activities
- Serve as backup support for payroll processing as needed
Medicaid Billing
- Process Medicaid and other client service billings
- Maintain authorizations, Plans of Care, and billing units
- Review service documentation for accuracy and compliance
- Submit claims through the electronic Medicaid billing system
- Post Medicaid payments and resolve billing discrepancies
- Maintain participant billing records and archived files
General Office Support
- Maintain confidential financial and participant records
- Provide occasional receptionist coverage as needed
- Assist with improving accounting, billing, and payroll processes
- Participate in required meetings, training, and compliance activities
- Perform other duties as assigned

Qualifications
Required:
- High school diploma or equivalent
- Two (2) or more years of office experience
- Two (2) or more years of accounting, billing, payroll, or related office experience
- Experience with Microsoft Office
- Experience using QuickBooks, Bill.com, ADP, or similar accounting and payroll software
- Strong attention to detail and accuracy
- Ability to analyze financial and billing information and resolve discrepancies
- Valid Alaska driver's license
- Must meet agency driving and insurance requirements (age 21 with at least three years of licensed driving experience)
Preferred:
- Medicaid billing experience
- Payroll processing experience
- Experience working in healthcare, nonprofit, or human services
Working Conditions
- Primarily office-based position
- Occasional lifting of up to 10 pounds
- Frequent computer use and repetitive hand movements
- Minimal exposure to adverse environmental conditions
