What are the responsibilities and job description for the Human Resources Specialist position at Factory Motor Parts?
The Human Resources Specialist assists with the administration of the day to day operations of our distribution center. This role provides support across a variety of HR functions, which may include departmental development, HRIS administration, training and development, benefits support, recruitment, executive administration, and other employment-related activities.
DUTIES & RESPONSIBILITIES:
ADMINISTRATIVE
- Provide general administrative support, including entering, formatting, and preparing documents and information.
- Answer the main office telephone line, assist callers as needed, and direct or transfer calls appropriately.
- Provide clerical and administrative support to management.
RECRUITING:
- Review and sort resumes and conduct initial applicant screening.
- Schedule interviews and coordinate interview details with hiring managers.
- Communicate with candidates throughout the recruiting and hiring process.
- Conduct initial orientation for newly hired employees.
- Create and issue security badges for new employees.
- Coordinate and manage temporary staffing needs and agency employees.
HR ADMINISTRATIVE:
- Maintains complete confidentiality regarding personnel files, employee data and all other confidential information
- Track and update hourly employee leaves of absence
- Assist in training staff members and new hires
- Tracks participants and training records
- Maintaining employee files and the HR filing system
- Assist with payroll preparation by providing relevant employee information, including absences, leaves, and other applicable data.
- Coordinate Steel Toe Shoe orders for employees as needed.
- Set up new employees in the biometric timekeeping system.
- Enter Workers’ Compensation claims into the MyWave system and maintain related records.
- Assist with vehicle accident reporting and maintain required documentation and files.
- Coordinate, submit, and maintain records for monthly safety meetings.
REQUIREMENTS:
- PC literacy (MS Office and Google Drive in particular)
- Basic knowledge of Connecticut, Pennsylvania, and New York labor laws
- Excellent organizational skills
- Detail-oriented and organized
- Ability to multi-task
- Ability to work effectively across departmental teams
- 2 years’ exposure to the human resources functions
