Purpose Statement

The job of Facilities Maintenance Supervisor is done for the purpose of providing leadership and supervision for the Maintenance Branch of the Facilities Department; assessing District-wide maintenance and repair needs; establishing priorities; directing assigned personnel; coordinating mechanical, HVAC, plumbing, electrical and general maintenance activities; supporting facility planning and assessments; and ensuring work is completed safely, efficiently and in accordance with applicable standards.

 

The Facilities Maintenance Supervisor serves as a key advisor to the Director of Facilities Services and acts as a liaison among District maintenance personnel, school administrators, vendors and contractors. The position is expected to independently identify needs, recommend priorities, coordinate resources, develop employees and help drive continuous improvement of District facilities.

Essential Functions

  • Assesses District-wide maintenance, repair and facility needs for the purpose of identifying priorities, allocating resources and supporting safe, reliable and effective school operations.
  • Supervises assigned maintenance personnel and coordinates day-to-day mechanical/HVAC, plumbing, electrical and general maintenance activities for the purpose of ensuring assignments are completed safely, properly and in a timely manner.
  • Prioritizes and assigns work orders and service requests based on safety, operational impact, urgency, available resources and District priorities.
  • Meets individually with supervised employees on a regular basis, generally weekly, for the purpose of reviewing workload, priorities, performance, professional development and support needs.
  • Develops assigned employees through coaching, training, cross-training and professional growth opportunities for the purpose of improving technical ability, leadership skills and confidence.
  • Communicates with administrators, personnel and outside organizations for the purpose of coordinating activities, resolving issues and exchanging information.
  • Coordinates with vendors and contractors, including developing or assisting with scopes of work, obtaining and evaluating quotes, scheduling work and verifying satisfactory completion.
  • Obtains multiple quotes when required for parts, materials, equipment, labor and professional services and assists with procurement in accordance with District purchasing requirements.
  • Inspects completed work, equipment and facilities for the purpose of ensuring quality standards are met, identifying deficiencies and determining preventive maintenance or repair needs.
  • Uses the District's computerized maintenance management/work order system, vehicle GPS system, timekeeping software, email, Google Workspace and other applicable technology to manage work and communicate effectively.
  • Uploads, downloads, organizes and shares digital maps, plans, photographs, images and related documentation for the purpose of effectively communicating facility conditions, assessments and project needs.
  • Assists with maintaining and updating District-wide facility assessments and long-range maintenance needs, including flooring, painting, HVAC, millwork, roofing, trip hazards and other building systems.
  • Assists with campus safety walks, facility inspections and systems related to school and campus safety; identifies and communicates observed safety, fire or health hazards.
  • Maintains accurate files and records, including work orders, time records, estimates, quotes, inspection documentation, equipment information and other reports required for operational and audit purposes.
  • Identifies training, personal protective equipment, tools and resource needs of assigned maintenance personnel and recommends appropriate action to the Director of Facilities Services.
  • Implements and supports preventive maintenance programs, inspection schedules, regulatory programs and assigned facility initiatives.
  • Participates in required training related to school facility operations and regulatory requirements, which may include asbestos reporting, integrated pest management, playground safety and other applicable programs.
  • Safely operates basic tools and equipment when needed to support maintenance activities and improve the school environment for students, staff and the community.
  • Responds to emergency situations during and after normal work hours when necessary for the purpose of resolving immediate facility and safety concerns.
  • Recommends plans, policies, procedures, projects and specific actions for the purpose of addressing department goals, facility needs and continuous improvement.

Other Functions

  • Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit.

Job Requirements: Minimum Qualifications

 

Skills, Knowledge and Abilities

SKILLS are required to perform multiple technical, supervisory and administrative tasks. Specific skill-based competencies include: assessing and prioritizing maintenance needs; supervising and developing employees; coordinating multiple trades and projects; obtaining and evaluating quotes; working effectively with vendors and contractors; applying applicable codes, policies, regulations and laws; operating basic trade tools and equipment; using standard office equipment and computer software; communicating clearly; and preparing and maintaining accurate records.

 

KNOWLEDGE is required of commercial building construction, operations and maintenance practices; mechanical/HVAC, plumbing, electrical and general building systems; preventive maintenance practices; school facility safety requirements; basic procurement and contractor coordination; and applicable codes, regulations and laws related to the position.

 

ABILITY is required to provide leadership and direction; establish priorities; independently identify and assess facility needs; manage multiple competing assignments; supervise employees with varying levels of experience; communicate with diverse groups; use technology to manage and document work; read and interpret maps, plans and technical information; adapt to changing priorities; and work collaboratively as part of a team.

 

Responsibility

Responsibilities include supervising assigned personnel; independently coordinating day-to-day maintenance activities within established District policies and procedures; prioritizing work and resources; monitoring expenditures; supporting procurement activities; evaluating work quality; developing employees; and advising the Director of Facilities Services regarding facility conditions, operational needs and recommended actions.

 

Work Environment

The usual and customary methods of performing the job's functions require a combination of office, school campus, shop and field work. Physical demands may include lifting, carrying, pushing and/or pulling; climbing and balancing; stooping, kneeling, crouching and/or crawling; and operating tools and equipment. The job may be performed under temperature extremes and conditions with exposure to risk of injury and/or illness.

 

Experience:

A minimum of five (5) years of progressively responsible experience in construction, commercial building maintenance, facility operations or a closely related field is required. Demonstrated leadership or supervisory experience is preferred.

 

Education:

A degree in construction management, facilities management, engineering, business or a related field is preferred but not required.

 

Equivalency:

An equivalent combination of relevant education, training and progressively responsible experience that demonstrates the knowledge, skills and abilities required to perform the essential functions of the position may be considered.
