Project Operations Assistant

About the Role
We are seeking a highly organized and detail-oriented Project Operations Assistant to support the execution and coordination of cross-functional projects. This role plays a key part in ensuring smooth project delivery, operational efficiency, and effective communication between teams.
You will work closely with project managers, operations teams, and stakeholders to help track progress, manage documentation, and ensure that all project activities are executed on time and aligned with business objectives.
Key Responsibilities
1. Project Coordination & Support
Assist in the planning, coordination, and execution of ongoing projects
Support project managers in maintaining project timelines, milestones, and deliverables
Track project progress and provide regular updates to stakeholders
Help identify potential risks, delays, or bottlenecks and escalate when necessary
2. Operational Management
Maintain and organize project documentation, reports, and internal records
Support the development and improvement of operational workflows and SOPs
Ensure project tools and systems (e.g., Jira, Asana, Trello, Monday.com) are updated and accurate
3. Communication & Stakeholder Support
Serve as a communication bridge between internal teams and external partners
Schedule and coordinate meetings, prepare agendas, and document meeting minutes
Assist in preparing presentations, reports, and project summaries for leadership
4. Data Tracking & Reporting
Collect, analyze, and consolidate project-related data
Generate regular operational reports and performance dashboards
Support KPI tracking and project performance evaluation
5. Administrative & Ad Hoc Tasks
Provide general administrative support to project and operations teams
Assist with special projects and cross-departmental initiatives as required
Qualifications
Bachelor’s degree in Business, Management, Operations, or related field preferred
1–3 years of experience in project coordination, operations, or administrative support
Strong organizational and multitasking abilities
Excellent written and verbal communication skills in English
Proficiency in Microsoft Office / Google Workspace
Familiarity with project management tools (e.g., Asana, Jira, Trello, Notion) is a plus
Strong attention to detail and problem-solving mindset
Ability to work independently and in a fast-paced environment
Preferred Skills (Nice to Have)
Experience in startups, consulting, or tech companies
Basic understanding of Agile / Scrum methodologies
Data analysis or reporting skills (Excel, Google Sheets, BI tools)
Cross-cultural communication experience
