Job Overview
We are seeking an energetic and detail-oriented Manager to lead our dynamic team in delivering exceptional patient care and operational excellence. As a Manager, you will oversee daily clinic activities, coordinate patient intake processes, and ensure compliance with healthcare regulations such as HIPAA. Responsibilities
- Supervise daily clinic operations, ensuring smooth patient flow and high-quality care delivery
- Oversee patient intake procedures, including gathering medical histories, verifying insurance information, and scheduling appointments
- Develops and implements operational procedures to optimize efficiency
- Manage medical records with accuracy and confidentiality in compliance with HIPAA regulations
- Oversees inventory, equipment maintenance, and supplies
- Coordinate with medical staff to ensure proper use of EMR for documentation and billing purposes
- Support front desk activities including appointment scheduling, patient check-in/out, and addressing patient inquiries
- Assist with medical coding and billing processes to ensure accurate reimbursement and recordkeeping
- Supports marketing efforts and community outreach programs
- Supports optical department with sales of glasses, contacts and other clinic products
- Responsible for hiring and onboarding
- Handles patient complaints or concerns professionally
- Lead retail sales efforts for optical products to meet sales targets while providing excellent customer service
- Train and mentor staff on medical terminology, anatomy, physiology concepts, and clinic procedures to foster professional growth
- Ensure compliance with safety standards
- Collaborate with team members to improve clinic workflows, enhance patient experience, and meet organizational goals
Requirements
- Proven experience in a medical office setting, preferably within optometry or a medical organization (not required but preferred)
- Ability to manage front desk operations including intake processes, appointment scheduling, and customer service excellence
- Excellent organizational skills with attention to detail in managing medical records and clinic documentation
- Leadership qualities capable of supervising staff, fostering teamwork, and driving operational success
- Strong communication skills to effectively interact with patients, staff, vendors, and external partners
- High School Degree is a must, associate degree or university degree is a huge plus
