Job Description:
We are seeking a dedicated and highly organized Patient Care Coordinator/Technician to join our team. This role is essential to ensuring smooth operations in our busy office environment. The ideal candidate will be open to working both directly with patients performing auxiliary testing, as well as in our business office performing administrative duties. The ideal candidadate will possess excellent communication skills, attention to detail, and the ability to handle a variety of administrative and patient-related tasks. This position requires frequent interaction with patients, including auxillary staff, and insurance companies, along with managing high volumes of phone calls, emails, and texts.
Key Responsibilities:
- Patient Interaction:
- Greet patients and visitors professionally via phone or email.
- Manage inbound and outbound communication, including answering a high volume of phone calls, emails, and text messages.
- Schedule patient appointments, confirm appointments, and provide necessary reminders to patients.
- Address patient inquiries and concerns promptly and professionally, providing exceptional customer service.
- Pretesting patients and auxiliary testing (our office has HVF, OCT, Topography)
- Managing patient flow
- Check-in patients
- Insurance Authorization & Verification:
- Obtain insurance authorization and verify patient eligibility for medical services.
- Communicate with insurance companies and patients to resolve authorization issues.
- Assist patients in understanding their insurance benefits and payment options.
- Clerical Support:
- Perform light clerical tasks, including data entry, filing, and scanning patient records and documents.
- Maintain and organize patient files and ensure all necessary documentation is accurately filed.
- Assist with processing patient intake forms and update patient records in the system.
- Administrative Duties:
- Support office staff in day-to-day operations and office management.
- Handle patient referrals, ensuring that patients are connected to the appropriate healthcare providers.
- Coordinate with medical staff to ensure timely communication between patients and providers.
- Manage scheduling for doctors and ensure smooth flow of patients within the office.
Qualifications:
- High school diploma or equivalent; additional certification or coursework in medical office administration preferred.
- Proven experience as a receptionist, patient care coordinator, or in a similar role within a medical or healthcare environment.
- Strong phone etiquette and the ability to handle high call volumes efficiently.
- Experience with electronic health records (EHR) or practice management software preferred.
- Knowledge of insurance processes and the ability to secure authorizations for medical services.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
- Exceptional interpersonal skills and the ability to work collaboratively within a team.
- Ability to handle confidential information with professionalism and discretion.
- Strong written and verbal communication skills.
Physical Requirements:
- Ability to sit for extended periods while performing clerical duties.
- Occasional lifting of up to 15 pounds.
