What are the responsibilities and job description for the Optician position at Eyecon Optometry?
Eyecon Optometry is a luxury optical boutique with state of the art eye care facility seeking an individual with a strong sense of style, luxury retail experience, enjoys working with all ages. The ideal candidate must be friendly, personable, love to help others and be around people. The work schedule is Monday through Friday. We are willing to train the right person with the “can do” personality and quick learner.
Duties and Responsibilities (including but not limited to the following):
Optician Duties
- Greet customers in a friendly, helpful and professional manner
- Assist customers in the selection, adjustment, and training/education of frames and optical lenses that are tailor-fitted to the shape of the customer's face and to their individual styles & budget while adhering to the written optical prescription and other internal protocols
- Assist customers with contact lens fittings and training
- Review patient invoices, optical lab orders and contact lens orders for accuracy, completeness and timeliness
- Review optical job status reports to ensure that all patient optical jobs are processed accurately and timely, including coordinating with external optical labs
- Check in frames received from optical labs and perform quality control
- After passing quality control, notify patients for pickup and prepare for dispensing
- Resolve patient concerns timely and effectively. Ensure patient satisfaction and deliver the highest quality of service
- Check to make sure office and optical supplies (e.g., cases, contact lens trials, lens cleaning sprays and cloths) are stocked
- Review and manage accounts receivable aging reports for patients and insurance plans
- Review vendor bills for accounts payable to ensure invoice payment accuracy (e.g., checking optical lab bills for proper pricing, discounts)
- Perform inventory count, check in inventory, perform reconciliations, and other tasks as needed based on procedures and management guidance in order to keep accurate inventory records
- Contribute to regular team and management meetings to improve operational excellence, patient care, status updates and implementing ownership priorities
- Run reports to track production and other key performance metrics (KPIs)
Opening and closing procedures
- Conduct office opening procedures
- Conduct daily end-of-day reconciliation of payment receipts against source documentation before end of day to ensure accuracy and completeness
- Conduct office closing procedures
Pre-testing
- Perform pre-testing procedures thoroughly in accordance to office procedures, including educating patients about applicable pre-testing procedures and keeping detailed records
Assistance with Specialty Services
- Assist as needed in all of the practice’s specialty services, including but not limited to Orthokeratology, myopia control, Neurolens and dry eyes.
Insurance Benefits
- Verify insurance coverage (e.g., benefits, eligibility, authorizations, referrals) for vision (e.g., VSP, EyeMed, Envolve) and/or health insurance, including detailed annotations regarding coverage in the practice management system and communicate with other team members as needed
Office Operations & Patient Care
- Greet customers in a friendly, professional manner and deliver exceptional & personalized customer service and satisfaction by showing respect, listening, saying thank you, being responsive, and asking for customer feedback in accordance with procedures and management guidance
- Troubleshoot issues and patient concerns
- Answer phones efficiently, record messages and transfer calls with a warm and clear phone voice that exudes confidence
- Prepare End of day report(s) to management and/or ownership
- Ensure store cleanliness at all times.
Posting & insurance Billing
- Post and bill vision insurance plans (e.g., exams, frames, lens, add-on’s) timely, accurately and completely in accordance with procedures, including all applicable postings and record keeping
- Accountable for reviewing accuracy, completeness, and timeliness of all posting in practice management system, including posting insurance checks in the system at the patient level
Qualifications:
- Minimum Required Education: Must have training from a vocational school, recognized apprenticeship program or an associate’s degree.
- Minimum Required Experience: Must have at least 1-2 years of previous relevant work experience, on-the-job training, or apprenticeship in the field.
- Desired Certifications and/or Licensures: Licensed Optician
KNOWLEDGE AND SKILLS
- Passion for interacting with people
- Extensive customer service and sales experience
- Strong proficiency in computer and EHR systems
- Organized, detail oriented
- Strong math skills (advanced arithmetic skills in addition, subtraction, multiplication, division are minimal requirements)
- Must accurately transcribe words and numbers
- Competency with cash register, computers and calculators.
