Operations & Logistics Coordinator

Position Summary

The Operations & Logistics Coordinator is responsible for supporting field operations through the coordination of Time & Material (T&M) work orders, material procurement, vendor relations, fleet management, equipment tracking, and jobsite logistics. This position serves as the link between Foremen, Superintendents, Project Managers, vendors, suppliers, and delivery personnel to ensure projects receive the materials, equipment, and support necessary to maintain productivity and profitability.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining accurate information and communication.

Essential Duties and Responsibilities

T&M Work Order Administration

• Review field-generated T&M tickets for completeness and accuracy.
• Price labor, equipment, materials, and consumables associated with T&M work.
• Prepare T&M backups and documentation for Project Managers and Accounting.
• Maintain updated logs of approved, pending, and outstanding T&M tickets.

Material Procurement & Vendor Coordination

• Review material requests submitted by Foremen and Superintendents.
• Verify quantities, requested delivery dates, and project requirements.
• Submit purchase orders to approved vendors.
• Coordinate pricing and availability with suppliers.
• Track order status and delivery schedules.
• Promptly resolve material shortages, damaged deliveries, and vendor issues.
• Maintains inventory stock levels and replenishes as needed.
• Maintains an clean, neat and orderly warehouse and yard.

Logistics & Delivery Coordination

• Schedule company drivers for material pickups and deliveries.
• Communicate delivery schedules to field personnel.
• Coordinate emergency and same-day material requests.

Fleet Management

• Track maintenance schedules for company vehicles, using company software.
• Schedule routine maintenance & repairs.
• Coordinate service appointments with repair facilities.

Asset & Equipment Management

• Maintain a company-wide inventory of tools and equipment, using company software.
• Track equipment assignments by project and employee.
• Monitor tool transfers between jobsites.
• Maintain records of equipment purchases, repairs, and replacements.
• Conduct periodic equipment audits.
• Coordinate repair and replacement of damaged or lost tools & equipment.
• Assist with equipment procurement and rentals.

Operations Support

• Support Project Managers, Superintendents, and Foremen with operational needs.
• Participate in weekly production and scheduling meetings.
• Identify opportunities to improve efficiency with material management  or procurement processes.

Required Qualifications

Education

• High School Diploma or GED required.

Experience

• Experience in commercial construction preferred.
• Prior experience with T&M pricing and material procurement preferred, but not mandatory.

Skills & Abilities

• Strong organizational and multitasking abilities.
• Ability to prioritize competing requests from multiple jobsites.
• Knowledge of construction materials and purchasing processes.
• Understanding of T&M billing and cost tracking.
• Effective communication skills with field and office personnel.
• Strong problem-solving abilities.
• Proficiency with Microsoft Office, Excel, Outlook, and construction management software.
• Ability to maintain accurate records and documentation.
• Must be a team player.
