Extract Wellness seeks an organized and communicative Entry Level Project Manager to support a small, distributed operations team in planning, coordinating, and delivering defined projects and ongoing operational initiatives. The role will focus on maintaining project schedules, tracking deliverables, facilitating team communication, documenting project status, and escalating risks or impediments to supervising staff. The position emphasizes accuracy, timely follow-through, and adherence to confidentiality and company procedures.
Key responsibilities:
- Support project planning by developing and maintaining project plans, timelines, and task lists according to provided templates and guidelines.
- Track project milestones, deliverables, and dependencies; update status and notify stakeholders of changes or delays.
- Facilitate regular team check-ins, prepare agendas, document meeting notes and action items, and follow up to ensure completion.
- Maintain organized project documentation, including requirements, schedules, issue logs, and decision records, with consistent labeling and storage practices.
- Identify and log project risks, issues, and assumptions; escalate items requiring supervisory attention and support remediation activities.
- Coordinate cross-functional activities with internal team members and external partners to ensure alignment and timely handoffs.
- Use project-management and collaboration tools to assign tasks, monitor progress, and generate basic project reports.
- Apply company confidentiality and data-handling practices when working with proprietary or sensitive client information.
Minimum qualifications:
- Associate degree, bachelor’s degree, or equivalent experience in project management, business administration, operations, or a related field.
- Minimum of 1 year of experience in project coordination, administrative support, or a related role with demonstrated organizational and follow-through skills.
- Proficiency with spreadsheet software and common office tools; familiarity with cloud-based collaboration platforms.
- Strong written communication skills for remote collaboration and the ability to coordinate during Eastern Time business hours as needed.
- High attention to detail, time-management ability, and aptitude for following established processes and templates.
- Reliable high-speed internet connection and a suitable remote work environment.
Preferred qualifications:
- Experience with project-management tools or task-tracking platforms and basic reporting (status updates, simple dashboards).
- Familiarity with basic project-management concepts (task dependencies, milestone tracking, issue/risk logging) and common collaboration practices.
- Prior experience supporting small or distributed teams and ability to adapt to changing priorities.
- Experience or familiarity with regulated environments (health, wellness, or similar) where confidentiality and data-handling practices are required.
Working conditions and schedule:
- This is primarily a remote position. Assignments may be project-based, contract, or ongoing, with scope and duration defined in individual engagements.
- Candidates should be able to coordinate and communicate during Eastern Time business hours to align with Extract Wellness operations in Louisville, Kentucky.
- Work involves prolonged computer use and regular remote collaboration via email, phone, and video conferencing as required by the engagement.
