Job Overview
We are seeking a highly organized and detail-oriented Office Assistant to support our administrative team. This role involves managing daily office operations, providing exceptional customer service, and ensuring smooth communication within the organization. Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professional phone etiquette
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office, Google Workspace, and other office software for various administrative tasks
- Assist with calendar management and scheduling appointments or meetings
- Support bookkeeping and basic QuickBooks tasks as needed
- Provide customer support via phone, email, or in person, ensuring excellent service standards
- Handle administrative tasks such as copying, scanning, and organizing documents
- Maintain a clean and organized office environment to promote efficiency
- Support personal assistant duties or medical/dental receptionist tasks as required
Experience
- Prior office management or administrative experience preferred
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks, data entry, and bookkeeping is a plus
- Bilingual skills are desirable for effective communication with diverse clients and staff
- Familiarity with multi-line phone systems and front desk operations is advantageous
- Proven organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent customer service skills with professional phone etiquette and clerical experience
- Ability to manage time effectively and prioritize tasks for optimal workflow
- Previous experience as a personal assistant, medical receptionist, or dental receptionist is beneficial but not required
Job Type: Part-time
Pay: $13.00 - $17.00 per hour
Expected hours: 20 per week
