Position Overview
A well-established private wealth management firm in Colorado Springs is seeking an experienced Administrative Assistant to support its executive leadership and advisory team. This position serves as the first point of contact for clients and plays an important role in maintaining the firm's high standards of professionalism, client service, and operational excellence.
The successful candidate will possess exceptional organizational skills, strong written and verbal communication abilities, and the discretion required to work in a confidential financial services environment. This role requires a polished, service-oriented professional who is comfortable managing multiple priorities while supporting both clients and internal staff.
Primary Responsibilities
- Welcome clients and visitors in a professional and courteous manner.
- Answer and direct incoming telephone calls while providing exceptional client service.
- Manage the CEO's calendar, coordinate meetings, and assist with scheduling and travel arrangements.
- Provide administrative support to the firm's financial advisors and executive leadership.
- Prepare correspondence, reports, presentations, and other business documents.
- Maintain client records, files, and confidential documentation with a high degree of accuracy.
- Coordinate office communications, mailings, and general administrative functions.
- Assist with special projects and contribute to the efficient day-to-day operation of the office.
Qualifications
- Previous experience in an Administrative Assistant, Executive Assistant, Client Services, or Office Coordinator role within a professional office environment.
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- Demonstrated ability to manage confidential information with professionalism and discretion.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
- Ability to prioritize multiple responsibilities while maintaining a high level of accuracy.
- Professional demeanor with a commitment to providing exceptional client service.
Preferred Qualifications
- Experience within a wealth management, financial advisory, banking, investment, accounting, legal, or other highly regulated professional services environment.
- Familiarity with SEC and FINRA regulations.
- Experience supporting executives and coordinating complex calendars and travel arrangements.
- Previous experience working in a fiduciary environment or handling confidential financial information.
