The function of the Purchasing Coordinator is to provide the necessary planning, organization for procurement of materials, tools and services to meet the Fabrication Department goals and perform those activities necessary to achieve stated goals and objectives to support the business plan and obtain sustained growth and maximum profitability.
Requirements:
Knowledge of Manufacturing materials & hardware: MDF, Plywood, hard woods, nuts, bolts, screws, Acrylics, Paints, parts in McMaster Carr order catalog, etc.
High School Diploma required; bachelor’s degree preferred.
Microsoft Office 365 skills – SharePoint, Teams, Excel, Word
Computer literate with Windows based Applications
IOS or Android Smart Phone skills for Apps and Usability
Must have:
· Knowledge of fabrication methods/materials with wood, metal, plastics, paint, tools etc.
- Professional interaction with clients, vendors and co-workers; verbal, Teams, ZOOM, email, and other messaging methods
- Time management and planning: stewardship and interpersonal relations with effective interfacing between departments.
· Proficiency in Office 365, ECI M1 platform related to Purchasing and inventory
- Oversee the function and operation of Purchasing, Expediting, Shipping, Receiving and Inventory Control.
- Responsibilities include control and management of paperwork, people, systems and information.
· Detail oriented, with excellent organization skills
· Capable of meeting realistic, agreed upon delivery goals
· Self-starter and be able to work with minimal supervision
· Ability to sit and stand, walk, bend and stoop.
DUTIES AND RESPONSIBILITIES
1. Departmental Management:
- Ethical performance of departmental responsibilities in accordance with ismworld.org standards.
- Sourcing of materials, support and services and the contracting of Subcontractors
- Qualify material suppliers, subcontractors and service providers
- Daily processing of all Material Requisitions and Purchase Orders and the timely generation of reports
- Negotiate pricing, terms and delivery with vendors, suppliers and subcontractors
- Expedite late material orders
- Processing of material receipts and the timely generation of material reports
- Reconciliation of discrepancies in price, quantity or delivery
- Collaborate with Project Managers (PM) to address and mitigate any material delays.
· Work with team leads to deliver job specific ordered materials
· Ensure that production schedules and deadlines are met with appropriate delivery
· Notify Project Manager(s) (PM) of any material delivery slippage and work to mitigate impact on project
· Attend Kick Off Meetings to create material(s) take off lists with PM for Purchasing Department.
2. Safety and Compliance:
- Maintain a safe work environment, ensuring compliance with VOSH (OSHA) standards and companywide safety programs.
- Ensure that all Purchasing employees receive initial orientation and ongoing training, with regular evaluations.
3. Tool and Equipment Management:
- Track company Stock Room materials and inventory replenishment
· Responsible for assisting with preventive maintenance schedules on equipment
4. Leadership and Training:
- Provide technical expertise to Shipping and Receiving employees as required.
- Evaluate and ensure the competence of all subordinates, providing training as necessary.
· Responsible for the initial orientation and ongoing training of Shipping and Receiving employees
- Foster teamwork and maintain high morale, motivation, and communication within the department.
- Ability to create a positive work environment and foster stewardship and initiative in subordinates.
· Responsible for the annual evaluation of all personnel within the fabrication department
