Duties and responsibilities
- Work order management:Assisting with the creation, processing, and tracking of work orders, from initial request to completion.
- Asset Management:Identify and analyze fixed assets such as centrifugal chillers, closed loop chilled water systems, steam and gas boilers, electrical switchgear and step-down transformers, air handling units, VAV boxes, fire suppression systems, and moveable assets such as golf carts, utility carts, lift trucks, tools, and aerial work platforms.
- Data entry and analysis:Performing data entry to maintain accurate records and generating reports to track operational metrics like repair work orders, preventative maintenance tasks, or productivity.
- Process improvement:Collaborating with the operations team and union trades to identify inefficiencies and contribute to developing and implementing new procedures.
- Logistics coordination:Assisting with the coordination of repair part ordering, deliveries, pick-ups, and shipments, and tracking the status of parts.
- Customer service:Helping with customer service tasks, such as responding to inquiries and processing orders within the organization.
- Administrative support:Handling various administrative duties to include computerized filing and document retention.
- Special projects:Assisting with other projects as assigned by a supervisor.
Necessary skills and qualifications
- Education:A student currently pursuing an associates', bachelor’s or master’s degree in a related field such as business administration, supply chain management, operations management, facility management, computer science, architecture, or any engineering discipline.
- Technical skills:Proficiency with Microsoft Office Suite (i.e. Excel), is critical for data analysis and reporting. Familiarity with software as a service (SaaS), cloud-based software, work order and preventative maintenance software such as Computerized Maintenance Management Software (CMMS), logistics software, inventory management systems, or project management tools such as ProCore is beneficial.
- Organizational skills:The ability to prioritize tasks, meet deadlines, and manage multiple projects is essential in a fast-paced environment.
- Attention to detail:Accuracy is important when handling tasks like data entry, order processing, and inventory management.
- Problem-solving:Having strong analytical and problem-solving skills is key to identifying issues and contributing to process improvement.
- Communication:Effective written and verbal communication skills are necessary for working with team members, customers, and other departments.
- Teamwork and adaptability:Interns must be able to work collaboratively with others and adapt to changes in a dynamic work setting.
The expected duration for this Internship will be approximately 3 months with the possibility of an extension. Must be able to work a flexible schedule (Monday – Friday, approximately 16 hours weekly).
