Position Summary: The Human Resources (HR) & Recruiting Administrator provides administrative and operational support to the Human Resources and Talent Acquisition departments. This role is responsible for supporting recruitment activities, onboarding, employee documentation, compliance tracking, HRIS maintenance, employee communications, and day-to-day HR administrative functions. The HR & Recruiting Administrator assists in maintaining compliance with company policies and applicable federal and California labor laws while supporting a positive and professional work environment.
Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform the following satisfactorily; other duties may be assigned.
Coordinate recruitment activities including job postings, applicant tracking, interview scheduling, and candidate communication
Assist with full-cycle onboarding processes including offer letters, background checks, drug screenings, I-9 completion, and onboarding documentation.
Maintain recruiting pipelines and applicant records within the Applicant Tracking System.
Assist with employee personnel file maintenance ensuring compliance with company policies and regulatory requirements
Process employee status changes including new hires, transfers, compensation changes, leaves of absence, and separations.
Support employee relations functions by responding to routine HR-related inquiries and escalating concerns appropriately.
Assist with preparation of disciplinary documentation, employee correspondence, and performance-related materials.
Maintain confidentiality of employee records and sensitive company information.
Track employee licenses, certifications, training requirements, and compliance documentation.
Coordinate employee onboarding logistics including badges, uniforms, system access, and orientation scheduling Assist with payroll and timekeeping administrative functions including missed punch follow-up and timecard correction tracking.
Generate reports, spreadsheets, and HR-related tracking logs as requested by management.
Support HR compliance initiatives including annual trainings, policy acknowledgments, and audit preparation.
Organize and maintain Human Resources department physical and electronic filing systems.
Assist with employee engagement initiatives, recruiting events, and other HR programs.
Accomplishes HR and organizational mission by completing related duties as assigned.
