Scope of Work for SharePoint Resource: Department Content & Organizational Page Update
The assigned resource will assist and execute the cleanup, reorganization of the structure to align the new Aviation org structure, and to update of departmental content and organizational pages. This includes eliminating duplicate documents, updating outdated information, and correcting permissions to align with the department s current structure.
Conduct a full review of all departmental webpages, document libraries, and related content.
Create an inventory of existing assets and categorize items as current, outdated, duplicate, or requiring revision.
Identify content gaps or missing pages relevant to the new organizational structure.
2.2 Content Revision & Updates
Outline revisions, update, or reorganize content to match the latest organizational model, processes, services, and team functions.
Consolidate duplicate documents and ensure a single, authoritative version is retained.
Remove obsolete pages or documents after stakeholder approval.
Apply consistent formatting, naming conventions, and metadata.
2.3 Organizational Structure Alignment
Update team pages, organizational charts, contact lists, and supporting materials working alongside with pagemasters.
Reorganize site navigation and page hierarchy to reflect the updated structure.
Ensure each page identifies an updated owner/SME for future maintenance.
2.4 Security & Permissions Corrections
Review existing access permissions and identify incorrect or outdated configurations.
Work with IT/security stakeholders to update permissions based on the new departmental structure.
Document new permissions and ensure all sensitive content is properly secured.
Provide recommendation on the Q drive data source and how it should be display or migrated for easy access and remove confusion and inefficiencies.
2.5 Stakeholder Coordination
Engage with subject matter experts (SMEs) to validate content accuracy.
Present updated drafts for review and incorporate feedback.
Maintain regular communication with department leadership on progress and roadblocks.
2.6 Quality Assurance & Finalization
Conduct link validation, content formatting checks, and usability reviews.
Ensure all pages and documents are functioning as expected and accurately updated.
Produce final documentation summarizing changes, removals, updates, and security adjustments.
Strong organizational, writing, and editing skills.
Understanding of information architecture and content governance.
Ability to interpret and map organizational structures.
Experience coordinating with multiple stakeholders.
