What are the responsibilities and job description for the Commercial Real Estate Transaction Coordinator position at Expansion Partners?
Expansion Partners, a high-level commercial real estate firm, is seeking a high-level Commercial Real Estate Transaction Coordinator to build and run the operational backbone of our growing brokerage and to manage our existing base of clients and prospects at a high level.
Requirements
- Currently hold an active Virginia real estate salesperson license, or be willing to obtain one (the firm will cover related licensing costs)
- This is a hybrid role — a mix of remote and in-person work in the Charlottesville area
What You'll Do
- Manage and nurture the firm's existing clients and prospects — this is not a lead-generation role; the pipeline is already established
- Set up and manage business formation, licensing, insurance, and compliance recordkeeping
- Build financial operations: expense tracking, invoicing, commission tracking, AP/AR, and cash-flow reporting
- Create and maintain deal pipelines, client files, deadlines, closing checklists, and commission schedules
- Coordinate communications and documents among partners, clients, attorneys, brokers, landlords, and tenants
- Prepare business forms, proposals, and transaction-support documents for partner review
- Select and implement CRM, document storage, bookkeeping, and task management tools; document repeatable SOPs
- Identify operational gaps and coordinate vendors alongside the firm's partners
Licensed real estate activity will only be performed once the Coordinator is properly licensed and authorized under the firm's supervising broker.
Compensation
This is a commission-based role: the Coordinator earns 5% of Gross Commission Revenue from every transaction they support through completion (calculated on commission actually received by the Company, before partner distribution). There is no base salary or monthly retainer — compensation is tied directly to closed deals.
Structure
- 1099 independent contractor, flexible schedule based on deadlines and priorities.
- Reports jointly to the firm's partners (Steve Belcher and Justin Beights)
- Opportunity to grow into licensed real estate activity over time, with the firm covering related licensing costs
Who We're Looking For
Someone organized, self-directed, and comfortable owning the administrative and financial infrastructure of a small, fast-moving brokerage — ideally with experience in operations, transaction coordination, bookkeeping, or real estate support roles.
