As a Senior Specialist Proposal Management, you will support Sales representatives by preparing timely, accurate proposals and bids for client projects and maintaining an organized sales pipeline. You will own the proposal and order process from start to finish for internal customers, coordinate inputs across internal teams, and help create sales brochures and presentations. This is an individual contributor role without direct supervisory responsibility.

Explore your tasks and responsibilities

• Develop client proposals that include technical scope, pricing, lead times, and commercial terms.
• Own the start-to-finish proposal and order process for internal customers.
• Partner with Sales representatives to clarify customer requirements, priorities, pricing inputs, and submission deadlines.
• Maintain an organized sales pipeline and keep CRM and sales reporting tools current with opportunity status, next steps, and supporting information.
• Coordinate proposal inputs from Sales, Estimating, Engineering, Project Management, Finance, and other internal teams.
• Develop proposal schedules and ensure required deliverables, reviews, approvals, and compliance requirements are completed on time.
• Prepare client proposal content, executive summaries, presentations, and other sales materials.
• Support the development of sales brochures, product collateral, and customer presentations.
• Review incoming orders and maintain order documents, agreements, and supporting records.
• Prepare awarded orders in the ERP system and the handoff of work to Project Management.
• Identify opportunities to improve proposal quality, response time, pipeline visibility, and sales support processes.

Show your expertise

• Bachelor's degree in Business, Marketing, Engineering, or a related field.
• 3-5 years of experience in proposal management, sales support, business development, estimating, project coordination, or a related role.
• Experience preparing proposals, bids, quotations, presentations, or other customer-facing sales materials.
• Strong organizational and project coordination skills with the ability to manage multiple deadlines and priorities.
• Ability to gather and synthesize technical, commercial, and customer information into clear proposal content.
• Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint, and experience using CRM or sales reporting tools.
• Strong written and verbal communication skills with a reliable, accurate, and structured working style.
• Ability to work independently and build productive relationships with sales representatives, internal teams, and customers.

Preferred

• Experience in the construction, engineering, cleanroom, semiconductor, pharmaceutical, or other high-tech industry.
• Experience with CRM and ERP platforms, including opportunity tracking and order processing.
• Familiarity with technical products, design-build projects, or project-based sales environments.
• Experience with marketing collateral, sales brochures, and customer presentations.
• Customer-focused, collaborative, detail-oriented, and comfortable taking ownership from request through handoff.
