We are a top-tier security guard company based in Oahu, providing uniformed guard services to hotels, condos, retail sites, construction zones, and more. Our scheduler plays a critical role in ensuring all shifts are staffed efficiently and operations run smoothly.
Position: Scheduler/Dispatcher (Full-Time)
Location: Aiea, Hawaii
Schedule: Flexible, with occasional weekend and after-hours availability required
Reports To: Operations Manager
Key Responsibilities:
Shift Scheduling & Post Coverage
- Ensure all posts are filled daily across all client sites.
- Maintain and update the master schedule in real time.
- Assign guards to posts based on client requirements, guard qualifications, and availability.
- Communicate daily assignments to officers and supervisors.
- Coordinate immediate coverage for last-minute callouts or no-shows.
Communication & Coordination
- Maintain open communication with all guards and supervisors regarding scheduling needs or changes.
- Coordinate directly with clients on shift updates or personnel changes when necessary.
- Serve as the point of contact for shift-related issues outside of normal hours.
Overtime Management
- Monitor total weekly guard hours to control overtime expenses.
- Strategically rotate assignments to balance hours among guards fairly.
- Alert management immediately when overtime risks arise.
- Prioritize cost-efficient staffing while ensuring full coverage.
Administrative Duties
- Keep accurate records of shift assignments, changes, and call-offs.
- Update employee availability weekly.
- Work with HR to track new hires, terminations, and training completions to keep the schedule accurate.
- Assist in preparing reports on hours worked, open shifts, and OT use.
