What are the responsibilities and job description for the Personal Assistant (Rental Properties) position at Executive Errands?

Job Scope

  • Recurring work situations that include absentee home check with variations from the norm (we customize for every client). Job involves a moderate degree of complexity.

Operates from established procedures typically, but may have to use a high degree of creativity in meeting the clients’ needs. Operates independently with minimum supervision. Errors in work may result in dissatisfaction, or in extreme cases, loss of clients. Attention to detail a must.

  • Significant amount of computer work so technical understanding of Apple products is mandatory. Computer knowledge and proficiency will be tested. (iPad, iPhone) and knowledge of the following software programs Word, Outlook (or similar calendar apps) is critical
  • This is NOT an office position - the successful candidate will be in the field working outside throughout the year (including in summer)*
  • This position is a bit solitary as you work on your own. There is rarely any socialization unless we have a team meeting.
  • Email-centric system - significant email management daily. Must have excellent written and verbal communication skills

*In the rental support function, must of the work is done from home and there are evening and weekend support quite often (check ins typically happen after 2pm and on Thursdays and Fridays)

Job Duties

  • Provide the client with an experience that will always be remembered and with the highest level of responsiveness.
  • Provide personal services of the highest level.
  • Arrange for, suggest, schedule and confirm services such as house cleanings, window cleanings, carpet cleanings, etc.
  • Includes new business development for new clients and vendors
  • Provide access for vendors when needed.
  • Communicate with clients and vendors in a professional manner.
  • Update calendar and client schedules using company software.
  • Coordinate and facilitate appointments and workload so it is efficient and time effective in order to provide the highest level of value to the client
  • Must be available to work between 7am and 5 pm unless otherwise noted. No one works more than 8 hours per day but start and end times vary.

Interpersonal Contacts

Contacts are made with others both inside the company and outside. Fulfills the needs of the clients by providing services that may be requested by the client, via email, phone, or text.

Contacts sometimes contain confidential/sensitive information; position requires the ability to use the utmost discretion.

Specific Job Skills

  • Must demonstrate a positive attitude and professional demeanor, serving as an ambassador for the company.
  • Ability to apply common sense understanding to carry out instructions furnished in written or oral form. Ability to deal with problems involving concrete variables in standardized situations.
  • Ability to read and interpret operating and procedural manuals.
  • Requires strong communication, organizational, decision-making and interpersonal skills.
  • Ability to be detail-oriented while maintaining thorough follow-through.
  • Ability to multi-task and work under pressure, at times.
  • Requires professional demeanor with ability to use independent judgement to handle customer service matters in a satisfactory manner.
  • Ability to reply to emails, text messages, and phone calls in a prompt manner.
  • Requires standard knowledge of electrical equipment, such as I-pads and I-phones.
  • Possess a valid state issued driver’s license, with clean records, and a reliable vehicle.
  • Ability to stand, walk, sit, use computers. Ability to lift up to 25 pound.

Education and/or Experience

Prefer at least a minimum of 1 year in a customer service related position. Prefer Executive or Personal assistance services to high level management positions as this is a plus. Good geographical knowledge of the surrounding area.

Job Conditions

This (these) position(s) are specific for rental support services. Successful candidate must have the flexibility to work weekends or after 5:00 which means your day will start later. Frequent interruptions may occur and planned daily schedule may change unexpectedly. Maintain a clean and professional appearance. Must be able to withstand the summer temperatures in the desert. Must have a reliable vehicle as driving is a large part of this position.

Job Type: Part-time

Pay: $19.00 - $22.00 per hour
