Position Summary
This position is responsible for overseeing the accounting and finance functions to build operational excellence across the organization and ensure financial compliance.
Key Responsibilities
- Manage day-to-day accounting operations including general ledger, accounts payable/receivable, bi-weekly payroll (ADP), and reconciliations
-Ensure the accurate creation of client invoices and posting to the client portals.
-Review and approve all payables and issue payments via ACH wire transfers or checks to vendors.
-Monitor employee expense reports to ensure all expenses that are client reimbursable are billed accurately to the appropriate client.
-Calculate payroll deductions for employee benefit contributions, including healthcare, HSA, and Simple IRA.
-File H.S.A. and Simple IRA reports monthly to appropriate vendors.
-Review and segment corporate credit card charges on monthly statement into the accounting system; prepare and send a detailed list of charges to card users.
-Prepare and update a 9 month rolling cashflow forecast, which includes revenue by client and expenses.
-Check and review sales forecasts weekly against cash flow forecast.
- Balance checkbook bimonthly
- Publish accurate monthly, quarterly, and annual financial statements
- Oversee budgeting, forecasting, and variance analysis
- Liaison with external accounting firm to ensure compliance with tax and financial policies
- Monitor cash flow, financial performance, and cost controls
- Develop and improve financial systems, processes, and internal controls
- Develop and implement a project margin analysis system and processes
Cross-Functional Collaboration
- Support non-finance teams with financial insights and decision-making tools
- Act as a subject matter expert for financial best practices across the organization
Qualifications
Education & Experience
- Bachelor’s degree in finance, accounting, or related field
- 5 years of progressive experience in finance/accounting
Skills & Competencies
- Strong knowledge of accounting principles and financial reporting
- Exceptionally thorough – understand detailed aspects of each accounting transaction, ensuring correctness with contract pricing, invoicing, payroll, and other related requirements.
- Proficiency in financial systems (e.g., QuickBooks, Excel, Monday or similar)
- Strong analytical, organizational, and problem-solving skills
- Comfortable managing multiple priorities in a dynamic environment
- Strong interpersonal skills with the ability to engage and influence stakeholders
Work Environment
- Hybrid remote and office-based (Conshohocken PA) role depending on company business needs.
- Ability to occasionally travel for company or client needs.
- Position requires the ability to sit, stand, walk, type, and speak. The office-based hours are in a climate-controlled, indoor environment.
Work Location and Hybrid Flexibilty
This role is based at Advantexe’s world headquarters in Bala Cynwyd, Pennsylvania. The expectation is in-office at least three days a week (Tuesday, Wednesday, and Thursday), with remote-working flexibility on Mondays and Fridays. Occasional additional in-office days may be required, based upon needs of the business.
Compensation and Benefits
Range from $100,000 – $120,000 depending on experience, education, knowledge and abilities, and location.
