Key Responsibilities

  • Serve as the main point of contact for administrative and office-related tasks.
  • Maintain and update customer files, job schedules, and service records.
  • Answer phones, respond to emails, and provide professional customer support.
  • Coordinate technician schedules, parts orders, and service dispatching.
  • Assist with data entry, invoicing, and reporting using office software.
  • Order and track office supplies and ensure all administrative tools are functional.
  • Support field staff and leadership with various clerical tasks.
  • Maintain a clean, organized, and efficient office environment.
  • Assist with onboarding documents and communication for new hires.
  • Ensure confidentiality and accuracy in handling sensitive company data.


Qualifications

  • 3 years of experience in an office administration or clerical support role.
  • High school diploma or GED required.
  • Strong organizational and time management skills.
  • Proficiency with common office software (Microsoft Office, Google Workspace, scheduling software).
  • Self-sufficient, reliable, and able to work independently.
  • Excellent written and verbal communication skills.
  • Comfortable learning new software and managing digital systems.
  • Experience in the construction or HVAC service industry is a plus, but not required.

Schedule

  • Full-Time: Monday – Friday
