ExcelHealth Group Executive Assistant/Office Liaison

FLSA Status: Non-Exempt / Full-Time
Position Summary: The Executive Assistant/Office Liaison provides high-level administrative and organization support to the Chief Executive Officer (CEO) while serving as the primary communication bridge between the CEO and the in-office team. This position ensures the efficient operation of executive functions and office administration by making sure company policies and procedures are followed.
Key Responsibilities:
· Executive Support: Provide comprehensive executive-level administrative support to ensure the efficient operation of daily leadership activities and office functions.
· Ensure that all company policies and standard operating procedures are followed throughout administrative and departmental processes
· Monitor compliance with organizational standards and promptly report any potential issues, policy deviations, or employee concerns to the CEO or Human Resources
· Act as a trusted advisor to management by identifying potential areas of risk or inefficient and recommending corrective or preventative actions
· Provide day-to-day coaching and guidance to organizational standards and company values
· Proactively address and resolve minor performance issues in a constructive manner, including escalating matters to leadership, when necessary, in accordance with company policy
· Support a culture of accountability, professionalism, and continuous improvement by modeling company values and promoting open communication between staff and the CEO.
· Assisting in reviewing and verifying employee time records in accordance with company policies and compliance
· Maintain confidentiality and handle sensitive information in accordance with organizational policy, data privacy standards, and all applicable laws (Tennessee Human Rights Act, ADA, and Title VII).
· Other duties as assigned by the CEO.
Qualifications:
- Education: High school diploma or equivalent required. Associate’s or bachelor’s degree in business or a related field preferred; experience in lieu of education will also be accepted.
- Experience: 1–2 years of administrative or compliance-related experience in a healthcare or education setting preferred. Prior experience in a professional or corporate environment preferred.
- Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and video conferencing. Ability to learn new software platforms as needed.

Work Environment: This position is based in a professional office setting and requires full on-site attendance. The Executive Assistant/Office Liaison will perform duties in a standard office environment that includes regular interaction with executives, staff, and other visitors. This is not a remote or hybrid position. This role may occasionally require extended hours to support executive needs. Standard office equipment will be used regularly.
