Position Overview:
We are seeking a personable, organized, and detail-oriented Administrative Coordinator to serve as the first point of contact at our front desk. This position plays a key role in supporting school operations, managing scheduling and admissions tasks, and ensuring effective communication between families, staff, and visitors. The ideal candidate has a solid background in administration, strong interpersonal skills, and thrives in a dynamic, student-centered environment.
Key Responsibilities:
- Greet and assist families, students, and visitors in a warm and professional manner
- Manage incoming phone calls and emails; route messages appropriately
- Maintain accurate student and employee records with confidentiality
- Provide administrative support to school leadership and instructional staff
- Coordinate scheduling for meetings, school events, appointments, and staff coverage
- Support the admissions process by managing inquiries, scheduling tours, processing applications, and maintaining enrollment records
- Organize and manage office supplies, mail, and general front desk operations
- Communicate school updates and important information to families and staff
- Support daily school functions to ensure smooth front office workflow
Qualifications:
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- 2 years of administrative or front desk experience, ideally in education or healthcare
- Strong verbal and written communication skills
- Highly organized with excellent attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with databases is a plus
- Professional discretion and ability to manage sensitive information
- Dependable, proactive, and able to work independently and collaboratively
- Comfortable in a fast-paced setting with regular interaction with families and staff
Preferred Qualifications:
- Experience in a school or special education setting
- Familiarity with student information systems or school-based administrative processes
- Previous experience with scheduling and/or admissions support
