Job Summary

Excel Neurosurgery & Spine is looking for a Clinic Manager who is responsible for overseeing the daily operations of the clinic, ensuring efficient and effective delivery of care to patients with spinal conditions. This role involves managing staff, coordinating clinical activities, ensuring regulatory compliance, and optimizing patient experience and clinic performance. The manager works closely with medical staff to provide high-quality patient care while maintaining a well-organized and financially sound clinic.

Key Responsibilities

Clinic Operations Management

  • Daily Operations: Oversee the day-to-day operations of the spine clinic, ensuring all processes run smoothly, including patient intake, scheduling, and treatment coordination.
  • Staff Supervision: Manage and supervise clinic staff, including medical assistants, nurses, administrative personnel, and other support staff. Ensure appropriate staffing levels and that staff members are adequately trained and performing effectively.
  • Scheduling and Workflow: Coordinate patient scheduling to optimize provider time and ensure efficient patient flow. Monitor patient wait times and address any bottlenecks in clinic operations.
  • Clinic Supplies and Equipment: Ensure that the clinic is adequately stocked with necessary medical supplies and that equipment is functioning properly. Arrange for repairs or replacements as needed.

Patient Care Coordination

  • Patient Experience: Work to ensure that patients receive timely and compassionate care. Address patient complaints or concerns and work with clinical teams to resolve any issues.
  • Treatment Plans: Collaborate with physicians and specialists to facilitate the implementation of treatment plans for patients with spinal disorders. Ensure continuity of care, including referrals to specialists or coordination of surgeries when necessary.
  • Compliance with Regulations: Ensure the clinic complies with all relevant healthcare regulations, including HIPAA, OSHA, and other state and federal guidelines regarding patient care and clinic operations.

Financial and Administrative Management

  • Budgeting and Financial Oversight: Manage the clinic’s budget, monitor expenses, and optimize resources to ensure financial sustainability. Analyze financial reports and work with leadership to meet revenue goals.
  • Billing and Insurance: Oversee the billing and coding process, ensuring accurate submission of insurance claims. Address and resolve billing issues with patients or insurance companies.
  • Reporting: Prepare regular reports on clinic performance, including patient volumes, financial performance, and quality metrics. Present findings to clinic leadership and recommend improvements.

Leadership and Development

  • Team Leadership: Provide leadership and guidance to clinic staff, fostering a positive and collaborative working environment. Conduct staff meetings, provide feedback, and manage performance evaluations.
  • Staff Development: Identify training and development opportunities for staff members to improve their skills and knowledge in spinal care, administrative processes, and patient services.
  • Collaboration with Medical Staff: Work closely with physicians, specialists, and other healthcare providers to ensure alignment on clinical goals and patient care strategies.

Quality Improvement

  • Patient Safety and Quality: Develop and implement policies and procedures that ensure the highest level of patient safety and quality care. Monitor adherence to clinical protocols and quality standards.
  • Continuous Improvement: Identify areas for operational or clinical improvement and implement strategies to enhance patient care and clinic efficiency. This may include workflow optimization, new technologies, or patient feedback initiatives.
  • Accreditation and Certification: Maintain clinic accreditation and certification standards, ensuring compliance with national and local healthcare guidelines.

Qualifications

  • Education: Bachelor’s degree in healthcare administration, nursing, or a related field required. A Master’s degree in healthcare administration (MHA) or business administration (MBA) is preferred.
  • Experience: Minimum of 3-5 years of experience in clinic management, preferably in a spine or orthopedic setting. Experience with practice management, staff supervision, and financial oversight is required.
  • Licenses/Certifications: Healthcare management certification (such as CMPE) or a nursing license (if applicable) is a plus.
  • Skills: Strong organizational and leadership skills, excellent communication and interpersonal abilities, proficiency in electronic health record (EHR) systems, and a solid understanding of healthcare regulations and spine-related care.

Working Conditions

  • Environment: The Spine Clinic Manager will work in a clinical setting, interacting with healthcare providers, patients, and administrative staff.
  • Hours: Full-time position, typically during normal business hours. Some flexibility may be required depending on clinic needs or patient volumes.

Physical Requirements

  • Mobility: Ability to move throughout the clinic to supervise staff, assist in operations, and address patient needs.
  • Stamina: Must be able to handle a busy work environment and manage multiple tasks simultaneously.

Reporting Structure

  • Reports To: Executive Director or Chief Medical Officer.
  • Supervises: Administrative and clinical staff, including mid-level providers, medical assistants, and office personnel.
