THE ROLE:

We are seeking an outstanding individual for the role of Senior Analyst/Associate within our Operations department. This position includes supporting our internal operations and helping build the systems and processes that allow the firm to run efficiently at scale. The ideal candidate will be detail-oriented, organized and excited to grow with the company.


ABOUT:

You will report directly to the Head of Operations and serve as a key partner in building the internal operational infrastructure that allows the firm to scale. This role is intentionally dual-natured: in the near term, you will own executive support and day-to-day operational tasks. Over time, the expectation is that you increasingly identify, design, and own the workflows and automations that make those tasks faster, smarter, or unnecessary altogether.


The ideal candidate has meticulous attention to detail, is extremely organized and is motivated to learn as much as possible. Strong communication and interpersonal skills are a must, as this person will interact with all members of the Exbo team.


This role has a defined growth path toward Operations Manager as the firm scales and the Senior Analyst/ Associate demonstrates ownership of their scope.


RESPONSIBILITIES:

Executive & Administrative Support

  • Manage day-to-day calendar operations and scheduling for firm leadership, coordinating across internal and external stakeholders with accuracy and foresight.
  • Support core operational workflows including expense reimbursements, travel coordination, and software provisioning.
  • Serve as the primary point of contact for software access management across employees.
  • Manage contract lifecycle processes including creation, distribution via SignNow, and tracking for client engagements.
  • Oversee office operations including supply ordering, guest management, workspace organization, kitchen stocking, and hardware management.
  • Plan and execute team events, meals, and in-office initiatives that support a strong and engaging workplace culture.

Operations & Process Building

  • Maintain and optimize internal trackers, reporting tools, and operational workflows using Google Sheets and our PSA software (Scoro).
  • Identify manual or repetitive processes across the operations function and lead efforts to streamline or automate them using AI-powered workflows.
  • Manage vendor relationships and contracts, including day-to-day coordination with building services, vendors, and operational partners.
  • Support internal finance operations as needed, including billing coordination, with the expectation that this scope expands over time.
  • Contribute to broader operational initiatives and take on increasing ownership as the role and the firm evolve.
  • Directly oversee an analyst on our team based in India: reviewing work output, setting priorities, tracking task completion, and providing structured feedback.


KEY QUALIFICATIONS:

  • Bachelor’s degree required
  • 3–5 years of experience in operations or business support roles
  • Experience with financial and operational tools such as QuickBooks Online (QBO), Ramp, Bill.com, and Claude
  • High attention to detail with strong organizational and execution skills
  • Excitement about operating in a fast-paced, growth-stage environment
  • Proficiency in Excel and Google Sheets
  • Experience supporting internal finance preferred
  • Experience working in a services-based environment preferred
  • Prior experience managing preferred


WORK MODEL

This is a full-time position based in New York, NY. This position requires 4 days in the office each week (M-TH) with the option to WFH on Fridays. Work hours are from 9 am to 6 pm.


SALARY

$70,000 - $90,000 performance bonus
