ESSENTIAL FUNCTIONS: Qualified individuals must have the ability (with or without reasonable accommodation) to perform the following duties:

Job Function:

  • Greet visitors, vendors, and applicants in a warm and friendly manner, and answer any questions.
  • Answer and direct phone calls in a polite and friendly manner; keep detailed and accurate records of visitor requests and calls received.
  • Perform clerical duties such as typing, filing, and completing forms.
  • Operate office equipment, including copiers, scanners, fax systems, phone systems, and computers.
  • Copy, sort, and file records related to office activities and business transactions; prepare letters, memos, forms, and reports based on instructions.
  • Sort and process incoming and outgoing mail; receive deliveries and distribute as needed.
  • Maintain manual and electronic filing systems.
  • Manage calendars and schedule appointments as assigned.
  • Assist with scanning and uploading requisitions, manual entry results, and documents into appropriate systems (SLView, shared drive, etc.).
  • Organize and manage incoming faxes, pending lists, and billing documents.
  • Assist with billing tasks including receiving and sorting incoming payments, labeling billing documents, updating accounts receivable records with new accounts or missed payments, and identifying/resolving basic inconsistencies.
  • Monitor STAT tracker and assist with client phone inquiries, add-on requests, and demographic updates as directed.
  • Provide customer service to clients and offer backup support to other departments as assigned.
  • Other duties as assigned.

Working Conditions: Blood and body fluid exposure, contagious disease, infectious waste, able to handle high volume workload. Appropriate PPE is provided and required in performance of job duties.

Education/Experience:

  • High school diploma or equivalent required.
  • Previous clerical or administrative experience in an office environment preferred.
  • Previous billing experience preferred.
  • Able to type 40 wpm minimum.
  • Strong phone and customer service skills.
  • Proficient in Microsoft Office Suite, and Google Workspace Suite
  • Knowledge of medical terminology preferred.
  • Attention to detail and basic computational skills preferred.

  • Strong written and verbal communication skills.
  • Ability to maintain accuracy in a fast-paced environment.
  • Ability to work in a team setting.
  • Clerical skills to complete written records and keyboard literacy.
  • Ability to plan, schedule, implement, and follow through on activities.
  • This is a safety sensitive position for the purposes of the Arkansas Medical Marijuana Amendment.
  • Completion of HIPAA training and annual bloodborne pathogens training required within 30 days of hire.
  • Consent to random drug and alcohol testing as a condition of employment.

Reports to: Laboratory Director or designee

Physical Requirements:

  • Lift, push, pull up to 50 pounds.
  • Must be mobile.
  • Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately so that job requirements are met.
  • May be exposed to toxic, chemical caustics, fumes, airborne particles.
  • Must be able to cope with the mental and emotional stress of the position.
  • Must be able to engage with customers and function in a variety of work environments.
  • Must be able to relate to and work with ill, disabled, elderly, young, emotionally upset and at times hostile customers.

Confidentiality and Compliance: Employees must maintain strict confidentiality of all patient information in accordance with HIPAA and company policies. Violation may result in disciplinary action up to termination. All employees must comply with federal, state, and local regulations, including OSHA safety standards.

Training and Development: New hires will receive orientation on company policies, safety protocols, and role-specific skills. Ongoing training will be provided annually or as required by law.
