Position Summary:
The Lease-Up Community Manager is the on-site leader responsible for the initial lease-up and day-to-day operations of a new apartment community. This critical role encompasses a wide range of responsibilities, including pre-leasing activities, resident relations, financial management, property maintenance oversight, team supervision, and establishing a positive and thriving community environment from the ground up. The Lease-Up Community Manager serves as the primary point of contact for prospective and new residents and plays a crucial role in achieving stabilization through successful leasing and resident satisfaction.
Key Responsibilities:
Lease-Up & Pre-Leasing:
- Collaborate with ownership, leadership, and development to develop and execute a comprehensive lease-up strategy to achieve occupancy goals within the specified timeframe.
- Conduct market research and analyze competitor data to inform pricing and marketing strategies.
- Implement effective marketing and advertising campaigns to generate leads and drive traffic to the property.
- Establish and maintain relationships with local businesses, community organizations, and potential referral sources.
- Oversee the pre-leasing process, including managing inquiries, conducting tours, processing applications, and securing leases.
- Work closely with the construction team to ensure timely and smooth delivery of buildings, provide feedback on design and features, and coordinate unit readiness for occupancy.
- Plan and execute pre-opening events to generate excitement and build interest in the community.
Resident Relations:
- Cultivate and maintain positive relationships with residents, addressing their needs and concerns promptly and professionally.
- Manage resident communication, including newsletters, notices, email communication, phone communication, lead management systems, and community events.
- Enforce community policies and lease agreements consistently and fairly.
- Handle resident complaints and disputes effectively and resolve them in a timely manner.
- Plan and execute resident events and activities to foster a strong sense of community.
- Manage the resident move-in and move-out process efficiently and accurately.
Financial Management:
- Manage the community's budget, ensuring adherence to financial goals.
- Collect rent and other fees accurately and in a timely manner, following established procedures.
- Manage delinquency and initiate appropriate collection procedures.
- Process invoices and manage vendor relationships.
- Prepare and analyze financial reports as required.
- Timely reconciliation of petty cash credit card.
- Provides input into the development of budget(s) for the property by analyzing and evaluating financial statements, reviewing current and projected marketing information, and accessing operational reports that establish historic and predict performance patterns.
Property Maintenance & Safety:
- Oversee the physical condition of the property, ensuring it is well-maintained, clean, and safe particularly during the initial lease-up phase.
- Coordinate with maintenance staff and vendors to schedule and supervise repairs and maintenance work.
- Conduct regular property inspections to identify and address maintenance needs.
- Ensure compliance with safety regulations and emergency procedures.
- Manage capital improvement projects as directed.
Team Leadership & Supervision:
- Recruit, train, and supervise all on-site staff (e.g., leasing consultants, maintenance technicians, etc), building a high-performing team for the lease-up.
- Foster a positive and productive team environment.
- Delegate tasks effectively and provide ongoing feedback and coaching.
- Conduct performance evaluations and address any performance issues.
Administrative & Leasing:
- Develop and implement strategies to maximize rental income through effective pricing, lease renewals, and ancillary revenue generation, ensuring long-term financial success of the property.
- Maintain accurate resident files and property records.
- Process lease applications and renewals in accordance with company policies and fair housing laws.
- Conduct property tours for prospective residents and effectively market the community's features and benefits.
- Gathers, analyzes, and interprets current market and economic trends that may impact the property and implements short- and long-range marketing and leasing strategies to achieve the property’s occupancy and revenue goals.
- Utilize property management software effectively for daily tasks and reporting.
- Maintain social media accounts and regularly post as instructed by leadership and company requirements.
- Regularly audit marketing sources for accuracy and the most effective use of marketing funds as well as stay informed on competitor properties in the market.
- Recommend pricing, special, or marketing initiatives to ensure optimal leasing of the property.
- Assist in managing the client/owner relationship by meeting with the owners, conducting property tours, providing updates and information about the property’s performance, and responding to owner requests as needed.
Compliance & Legal:
- Ensure compliance with all federal, state, and local laws, including fair housing regulations.
- Adhere to company policies and procedures.
- Maintain a thorough understanding of lease agreements and related legal documentation.
Qualifications:
- High school diploma or equivalent required; Bachelor's degree preferred.
- Proven experience (3 years) in property management, with significant and successful experience in a Lease-Up Community Manager role.
- Demonstrated success in achieving lease-up goals and stabilizing new communities.
- Strong understanding of property management operations, including leasing, resident relations, maintenance, and financial management.
- Excellent communication, interpersonal, and customer service skills.
- Strong organizational, time management, and problem-solving abilities.
- Proficiency in property management software (Yardi)
- Knowledge of fair housing laws and regulations.
- Ability to work independently and as part of a team.
- Strong leadership and supervisory skills.
- Valid driver's license and reliable transportation.

Compensation: The salary range for this position is $80,000 – $85,000.
Additional Compensation: Many factors go into determining employee pay within the posted range including business requirements, prior experience, current skills and geographical location.
- Onsite Property Positions: In addition to the base salary, this role may be eligible to participate in weekly, monthly, and/or quarterly bonus programs.
