What are the responsibilities and job description for the Production Coordinator position at Evolve Activation?
The primary purpose of this position is to support the organization and efficiency of the Operations Department across multiple warehouses in the U.S. and Canada. This role will manage day-to-day inventory and operational processes, ensuring assets are delivered on time, within budget, and that any items requiring maintenance are promptly flagged for repair. In addition, the Production Coordinator will, at times, collaborate with the New Business team to develop operational solutions and provide accurate pricing for future opportunities.
The ideal candidate will possess exceptional organizational skills, strong proficiency in Excel, and a working knowledge of Asana (or a willingness to quickly master it). They should have hands-on experience in experiential marketing operations, with a solid understanding of the production process and the ability to manage vendor relationships across a variety of supplier types. Once the organizational systems are established and running smoothly, the Production Coordinator will assume responsibility for managing frequently ordered or requested items and ensuring operational consistency across projects.
This hybrid position includes both remote work and regular visits to our Santa Clarita and Downtown Los Angeles warehouse locations.

JOB RESPONSIBILITIES:
- Developing organizational systems for the Operations Department
- Assisting with creating shipping labels and tracking of the delivery
- Making vehicle reservations for account teams as needed
- Assuring that the accounting codes are properly applied to any budget impacting tasks
- Assisting with outreach to vendors and creating system to organize vendor database
- Create tracking mechanisms for various operational information
- Occasional inventorying of various warehouse items
- Research operation solutions/pricing for future opportunities
