THE PRODUCTION/TRAFFIC MANAGER is responsible for scheduling, production and on-time delivery of all agency production department work - traditional advertising and digital projects. This is accomplished through collaboration with creative directors, art directors and graphic designers, front-end designers, and supervision of in-house personnel such as the art department supervisor, production artists, traffic manager, and delivery vendors. It is also accomplished by interfacing with a variety of outside vendors who supply work to the agency on a freelance or contract basis.
The production manager prices all agency services, calculates in-house charges through working with various departments, and requests estimates from outside sources. This information is then incorporated in cost estimates and delivered to clients. The production manager is responsible for obtaining the best price and delivery possible for all agency projects.
After acceptance of pricing, the production manager issues purchase orders to the outside resources to complete the work and assures that when bills are received by the agency, prices are as quoted.
Reports to the VP-Creative Director
May supervise traffic manager, proofreader, delivery and/or other clerical personnel.
May coordinate with interactive/web development staff on estimating and outside production.
Responsibilities:
- Generates digital and/or hard copy project tracking files, entering information, assigning project numbers, issuing project instruction sheets and opening job workflow files.
- Conducts weekly production meetings with traffic manager, creative and production personnel.
- Prepares production estimates based on briefings from account executives and account coordinators, and meetings with production artists.
- Ideally, obtains three competitive quotes on every outside buy from a range of quality vendors.
- Issues purchase orders for all outside buys for client projects.
- Enters purchase order and invoice information in job jackets/job workflow files.
- Supervises work performed by suppliers (freelance artists, copywriters, printers, photographers, etc.).
- Ensures all artwork is proofread, both before submission to the client, and prior to use or publication.
- Verifies that all material is properly signed off/approved by account executive and client.
- Coordinates with media manager to ensure publication material deadlines are met.
- Follows up with suppliers to be sure they will meet promised delivery dates.
- Supervises deliveries, and coordinates delivery schedules with controller/receptionist; also checks and signs off on vendor deliveries.
- Reviews invoices and settles billing discrepancies with suppliers; obtains approvals from account executives.
- Reviews job estimates with account executives and makes revisions.
- Works directly with creative department and art department supervisor to ensure the highest quality results on every job.
- Manage RFP process for evok.
- Help manage creative department capacity if/when needed.
- Maintains cordial contact with all suppliers.
- Maintains reference files for suppliers of various products and services, categorized by quality, price and turnaround.
- Maintains current software/computer skills related to daily job functions.
- Authorizes production department staff training as necessary; notifies controller/business manager.
- Keep the agency informed as to new ideas, techniques, and advancements in the production world.

Print / promotional production:
- Scope the project with AM and creative team

Broadcast Production:
- Radio / TV / video
- Work with CD to scope project, choose production partner, select talent
- Work with agency team and production partners to schedule all components of each project
- Manage project through delivery as needed
- Enter estimate, create PO, reconcile with vendor invoices
Interactive/Digital
- Planning, design, development, and maintenance of interactive project elements using in-depth knowledge of HTML, CSS, JS, PHP, and server architecture for front and backend development
- Manages task and project timeline for the design, programming, development, and maintenance of interactive/web properties as outlined by supervisor
- Works with agency staff to develop estimates and proposals for interactive development as part of the overall client strategic planning process
- Consults on the development and presentation of all interactive marketing proposals to ensure such plans remain focused on the objectives of approved client strategic marketing plans
- Produces, reviews, and presents all web design plans and proposals for presentation/demo to agency staff
- Oversees the delivery and training of all interactive elements at project completion
- Monitor current clients to ensure design and scope remains consistent with previously outlined strategic goals and objectives
- Analyzes and monitors interactive projects, producing reports on the status of clients, with recommendations for updates on tracking, security, accessibility, and design
- Stays current regarding interactive design trends, tools, practices, and new technologies
Workamajig:
- Train new employees and interns
- Help AM’s with setup and troubleshooting
- Train team as needed
Creative Dept:
- Manage RFP process within evok
- Manage workflow in coordination with Account Managers
- Assign artists to projects per client team designation, type of project, schedule and capacity
Keep files of work examples
Educate agency on new ideas and advancements in production
Maintain positive, professional partnerships with vendors
Represent evok in a positive, professional manner at all times, even through difficult negotiations and troubleshooting with vendors/partners
