Job Title: Finance Manager
Reports to: President
Oversees: Bookkeeper
Position Summary: The Finance Manager oversees the company’s financial operations, ensuring accurate accounting, timely reporting, and strategic financial guidance. This role bridges the gap between daily bookkeeping and executive decision-making, partnering with leadership to drive growth and profitability. Beyond managing the numbers, this position requires an engaged financial leader who takes initiative, provides insight-driven recommendations, and actively contributes to the company’s long-term success and strategic direction.
Duties and Responsibilities
Financial Management & Reporting
- Oversee daily accounting functions with aid of Bookkeeper (A/P, A/R, payroll, reconciliations).
- Prepare and analyze monthly financial statements, balance sheets, and cash flow reports.
- Oversee compliance with state and local tax laws, including implementation and ongoing management of sales tax collection across states where nexus thresholds are met.
- Transition payroll from outsourced provider (ADP) to an in-house process.
- Coordinate closely with external CPA for quarterly and annual tax filings.
- Ensure timely and accurate filing and remittance of sales tax returns and maintain proper documentation for audit readiness.
Cash Flow & Forecasting
- Manage cash flow planning and ensure sufficient funds for operations.
- Forecast short-term and long-term cash requirements.
- Recommend strategies for optimizing cash reserves and working capital.
Inventory & Cost Management
- Develop and refine existing systems for supplier quote analysis and purchasing strategies to aid in weekly procurement decisions.
- Ensure accurate COGS reporting, landed cost analysis, and freight/tariff accounting.
- Work with leadership to analyze inventory costs, turnover, and margins.
Strategic Financial Leadership & Team Collaboration
- Serve as a key financial advisor to the leadership team, offering recommendations for improving profitability, managing costs, pricing strategy, and optimizing cash flow.
- Supervise bookkeeping staff or outsourced accounting support.
- Collaborate with department heads (Sales, Operations, Marketing) to provide financial insights that drive informed decisions.
- Partner with HR for payroll, benefits administration, and 401(k) tracking.
- Support business planning, including new ventures, acquisitions, product lines, and major investments.
- Develop dashboards, KPIs, department budgets, and reporting tools to track business health and operational success.
Systems & Controls
- Develop and maintain accounting policies and procedures.
- Strengthen internal controls and ensure compliance with financial regulations and to safeguard company assets.
- Improve efficiency by optimizing accounting software and reporting tools (e.g., QuickBooks, ERP, Power BI, etc.).
Qualifications
- Bachelor’s degree in Accounting, Finance, or related field (MBA preferred but not required).
- 5–10 years of progressive experience in accounting or financial management.
- Strong understanding of GAAP, budgeting, and cost accounting.
- Proficiency with accounting and BI tools (e.g., QuickBooks, Excel, SQL familiarity a plus).
- Experience in e-commerce, inventory, or wholesale distribution highly preferred.
- Exceptional analytical, organizational, and leadership skills.
- Demonstrated ability to translate financial data into actionable business insights.
