Essential Functions:
- Audit and process correctly rated Air Waybills to ensure accurate freight rates and other transportation fees are being charged to individual customers' accounts.
- Identify and log rating discrepancies for management reviewal and correction.
- Identify rating discrepancy patterns to aid in development of training material.
- Communicate, interact, and respond in a timely and professional manner to customers, coworkers, and vendors to resolve problems, expedite workflow and promote department and company initiatives.
- Communicate updated Air Waybill charges to customers, receiving stations and second carriers.
- Provide supplemental assistance to accounting department regarding rating inquiries.
- Scan and rename airway bills and appropriate support documentation.
- Perform Customer Service and Customer Service Records Clerk duties when required.
- Maintain confidentiality in all duties assigned.
Qualifications:
- Knowledge of administrative and clerical procedures, work processing systems/software, managing files and records, designing forms and other office procedures and related terminology.
- Ability to maintain confidentiality in all aspects of employment, including file and record maintenance.
- Knowledge of technology is used for training purposes or possess an interest in learning the technological methods used in training.
- Requires good organizational, attention to detail, and record keeping skills and also the ability to maintain current and updated information. Requires the ability to input and retrieve information from a database.
- Requires the ability to type 45 wpm, as required by location.
- Requires the ability to be sedentary for extended periods of time and the ability to operate a computer keyboard and screen for extended periods of time as required by location.
- Have at least one year of previous administrative support experience.
- Requires the ability to understand, retain, and deliver information verbally and written.
- Requires the ability to maintain excellent customer/station agent relations.
- Requires courteous, helpful, and poised phone manner and possess excellent interpersonal skills.
- Requires the ability to make determinations quickly and under pressure.
- Requires good organizational, attention to detail, and record keeping skills and also the ability to maintain current and updated information.
- Requires the ability to input and retrieve information from a database.
- Must be able to perform multiple tasks simultaneously, such as talking on the phone, data entry, and data retrieval.
- Candidates must be able to read and write to facilitate the communication process in a friendly, positive minded manner.
- Ability to lead, motivate, and successfully communicate with a diverse workgroup and other internal departments required.
- Must have a high attention to detail.
- Must possess a valid driver's license.
